**Nursery Coordinator**
Nursery Coordinator is to provide an effective and efficient coordination and admin support service to all staff, parents and government parties. To be responsible for the efficient day-to-day running of the entire operations at the nursery under the Nursery Manager supervision.
MAIN DUTIES:
**Nursery Children Care**
- Ensure that the British Curriculum (EYFS) is being followed and implemented by following up on the teachers’ fulfillment of weekly activities and plans, in collaboration with the Nursery Manager.
- Communicate with the parent if you or the nurse notice the child is sick to ensure adhering to the Health policy.
- Encourage thinking, reasoning, and self-expression.
- Have frequent and positive interaction with children while supervising, and accept/respect children’s questions. Listen to children with attention and respect.
- Know children well, being aware of medications, allergies, food intolerances, etc.
- Being aware of the presence or absence of all children while supervising.
- Be attentive and loving to children - smile and offer support when children require. Respond to children’s ideas and suggestions.
- Listen and respond respectfully to parents and colleagues and respect cultural diversity
- Make sure of a smooth operation of the classes, intervene to stop teasing and rejection due to race and/or physical characteristics.
**HR & Admin**
- 1) Ensure accurate records of all information on the children in soft and hard copy, including signed payment policy, completed and signed registration forms, invoices, update the customer report and data sheet file.
- 2) Ensure the parents fill all the pre-registration and registration forms, sign all the mandatory documents. Provide copies to parents.
- 3) Ensure the employees and officials' documents in soft and hard copies are up to date and completed. Communicate with the head office before any document expiry.
- 4) Update the ministry file and make sure of proper implementation of government guidelines, and proper sending the files and communication with the inspectors. (Such as renewal of the documents, absence of key staff and the documents of new staff). Responsible for any breaches of the ministry guidelines, and the consequences.
- 5) Ensure completeness of staff HR file and communication all of their requests to the HO (HR department). Keep track of the staff attendance and leave requests and communicate it to the head office.
- 6) Ensure the cleanliness, maintenance, sanitizing and proper hygiene levels and conduct frequent multiple daily checks of the nursery.
- 7) Keep inventory of all the supplies and order before they are finished.
- 8) Avoid unnecessary conversation with team members while they are supervising children, and provide the support to them if required.
- 9) Report all incidents to ensure all issues and solutions applied are documented.
- 10) Ensure the fire safety elements are implemented, and conduct drills as per the ministry regulations.
- 11) Monitor the nurse’s and the guard’s performance, and provide the feedback to the nursery manager. Ensure nursery staff meetings are held on a weekly basis.
- 12) Control and ensure the adequate utilisation of nursery assets. Update the list periodically, immediately inform the nursery manager of any damaged or missing items.
- 13) Work with the nursery manager to update the Basecamp and prepare required reports for the management.
**Marketing & Communication**
1) Responsible for the smooth running of the daily operations in the nursery, including the classes, shifting between the staff and the reception area.
2) Responsible for welcoming parents, children, staff and other members of the public. Manage received feedback and respond to the parents' inquiries. Answer phone calls and social media inquiries from parents and visitors in a professional and timely manner, following the guidelines provided by the marketing department.
3) Communicate with the inspector at a high level to ensure all government related reporting and documents are done correctly and on time.
4) Communicate with the senior management for any urgent request, following the communication protocols and reporting lines.
5) Collaborate with the marketing department and the nursery manager to plan the nursery’s marketing activities, marketing collaterals, digital marketing activities and customer follow-up.
6) Ensure the communication with the suppliers is according to the agreements and in line with the head office guidelines.
**Finance**
1) Assist the manager to prepare the yearly budget, plan and the requirements of the nursery’s operations and development.
2) Assist in planning the activities and expenditure in accordance with the approved budget. Manage the petty cash as per the policy.
3) Confirm and carefully communicate any fees, billing matters and revenue to any external or internal party.
