Job Posting Date: 30-Mar-2023 Work Location: Ras Laffan, QA Company: Qatargas Job Purpose Provide clerical and admin support in coordinating technical, logistical and business activities to the Site Logistics Team, North Field Expansion (NFXP) Onshore Project, adhering to established Company procedures and processes ensuring accuracy and compliance Job Context & Major Challenge(s) Work independently within agreed work practices and contributes to improving and streamlining business processes ensuring strict levels of confidentiality. Requires to coordinate with Project Leadership Team with integrity and reliability Key Job Accountabilities 1. Assist the Site Logistics team in managing all administrative and clerical aspects of NFXP Onshore project to ensure the technical objectives of site logistics services team are met within the approved scope, quality, and schedule.
2. Support site logistical and administrative related activities including coordination of site transport services, office move, FOC security admin services, store management, procurement of required materials, ensuring availability of sufficient stock of items including stationary, PPE and other related consumables etc.
3. Ensure office facilities are maintained and in good working condition by ordering repairs and maintenance services for office facilities, equipment, and vehicles through Qatargas FMD.
4. Coordinate allocation of individual office and hot offices to PMT staff and maintains records. Coordinate logistics arrangements for meetings, site visit delegates, and high-level visits both onsite and offsite (VIPs included).
5. Coordinate with Qatargas Security, GDIS, supply agencies, EPC contractors for application and endorsement of different RLIC security access passes and permits, resolving concerns from different parties including site access badges and vehicle stickers for NFXP Onshore staff and visitors as required.
6. Ensure all site staff complete safety requirements and are provided with suitable PPE. Maintain stocks and adequate supply of materials.
7. Review databases, check complex administration work for accuracy and compliance and ensure the reliability of information gathered to ensure consistency and quality of administration activities within the Project.
8. Act as focal point for initiation of IT, office services and security related matters to ensure PMT staff promptly receive their requirements. Maintain company asset records for vehicles, computers, telephone, radios etc.
9. Act as a focal point for internal and external visitors wishing to visit NFXP Onshore FOC area, site meetings / workshops etc. Act as a team focal point for the Logistics Services team in site business and logistics services coordination; and Business Services team leave rotations.
10. Maintain, organise, analyse, update and retrieve data from Quality Deficiency Control & Corrective Action Registers, SAP, Access, appropriate data files and update records accordingly. Raise workflows as and when required. Qualifications
Completion of Secondary School Education (12 years). Knowledge and/or Experience 5 years of relevant experience. Experience with projects and worldwide contractors and vendors. Ability to interface with other disciplines and external groups. Proficient command of written and spoken English. Advanced keyboard and PC Skills. Advanced knowledge of standard computer software. Knowledge of some financial and budgetary processes
