Purpose of Role

The Receptionist is the first point of contactfor the school. They assist in the successful administration of theschool and provide excellent administrative support and highlyconfidential secretarial services. The Receptionist is responsible forcoordinating front desk enquiries distributing correspondenceredirecting phone calls. and directing people appropriately andefficiently. ISP PHESReceptionist KeyResponsibilities

Provision ofhighquality reception service including the efficient and courteousmanagement of incoming telephone calls and visitors in line withthe school guidelines

Greet and welcome guestsas soon as they arrive at the school entrance

Direct visitors to the appropriate person andoffice

Answer screen and forward incoming phonecalls

Coordinate frontdeskactivities

Ensure reception area is tidy andpresentable with all necessary stationery and material (e.g. pensforms and brochures)

Provide basic and accurateinformation inperson and via phone/email

Receivesort and distribute daily mail/deliveries

Administrative support across the school for office staff andteachers

Maintain daily accurate fireregisters

Log late children

Meet and greet new parents / children

Assistadmin office where necessary

Maintain officesecurity by following safety procedures and controlling access viathe reception desk (monitor logbook issue visitorbadges)

Order front office supplies and keepinventory of stock

Update calendars and schedulemeetings

Perform other clerical receptionistduties such as filing photocopying transcribing andfaxing
