We are seeking a skilled and experienced Vendor Management Specialist to join our team. We are looking for candidates with a strong background in facilitating and maintaining relationships with vendors, negotiating contracts, and ensuring a cost-effective and professional tendering/contracting cycle.

Key Responsibilities:

  1. Coordinate with multiple vendors and internal departments to ensure the smooth running of the contracting process.
  2. Manage vendor activities and maintain both new and existing vendor relationships.
  3. Identify suitable vendors and negotiate with them to secure the best prices for products and services.
  4. Ensure that vendors fulfill their contractual obligations.
  5. Be responsible for high-value and complex contracting and capital procurement of products and services.
  6. Develop and sustain long-standing relationships with company-approved vendors.
  7. Review, negotiate, and draft contracts with internal departments and/or vendors for the provision of products and/or services.
  8. Draft and/or review and communicate exceptions to tender documents and RFQs.
  9. Develop contracts under supervision and ensure compliance with procedures.
  10. Conduct research on available vendors to determine which offer the best pricing and product quality.
  11. Ensure that the inquiry/tender/contracts documentation is prepared in accordance with approved contracting/tendering strategies.
  12. Act as a contact between the contractor and the Company's internal departments.
  13. Follow market developments and propose alternative sources of supply.
  14. Follow up with contractors and develop supplier relationships.
  15. Implement vendor selection programs to ensure that the best vendors are selected.
  16. Participate in the development of operating instructions required to implement contracting and procurement policies and procedures.
  17. Evaluate current vendor management programs and identify ways to improve them.
  18. Conduct strong market analysis and exert maximum effort in negotiation with vendors.
  19. Collaborate with the Legal Department, as appropriate, to ensure contractual risks are clearly identified and properly addressed in contractual provisions.
  20. Demonstrate a strong understanding of contracting philosophy, contract drafting, tender processes, negotiation, contract management/implementation, contract amendment, and financial tracking/monitoring.
  21. Demonstrate the highest standards of integrity and ethical conduct in all business dealings.
  22. Perform other job-related duties as assigned.

Qualifications & Experience:

  1. Bachelor's Degree in a relevant discipline.
  2. Minimum of 13+ years of experience as a Vendor Management Specialist within the IT industry.
  3. Strong English language skills (reading, speaking, writing, and listening).
  4. Advanced knowledge of national contract law and solid legal knowledge.
  5. Excellent analytical, problem-solving, and organizational skills.
  6. Experience handling conflicts and dispute resolution.
  7. Ability to plan, organize, problem-solve, and manage initiatives independently.
  8. Excellent skills in sharing knowledge and encouraging the development of others to achieve specific team goals.
