JOB DESCRIPTION

Were looking for an Associate Project Manager will work within our Center of Excellence unit, supporting teams of Project Management, Client Success, and Center of Excellence leadership.

OVERVIEW

  • Employment Type: Full-time
  • Schedule: Night Shift
  • Work Arrangement: Permanent WFH


RESPONSIBILITIES

We are looking for a reliable remote operations coordinator to undertake administrative tasks, ensuring the rest of the staff in the Center of Excellence have adequate support to work efficiently. The ideal candidate will be competent in prioritizing and working with little supervision. They will be self-motivated and trustworthy. A successful candidate must be an effective communicator and possess the ability to work with teammates across departments, locations, and time zones to deliver quality work to meet and exceed client expectations. They must possess excellent active listening skills to understand client needs and translate those needs to business development roadmaps.

Project Management:

  • Assist with project management duties; oversee and perform administrative functions concerned with a project.
  • Set up projects
  • Bookings for project based on the need of project (as confirmed by the delivery lead)
  • Invoice approval
  • Monitoring of budget as per the contract
  • Timesheet approvals (ad hoc)
  • Resource request
  • Flagging any issues for budget and resourcing
  • Assisting set up of additional resources as the project permits
  • Schedule meetings
  • Start documentation: internal/external kickoff notes, kick of deck, ongoing notes
  • Monthly status reporting of hours
  • Granting timesheet access
  • Monitor budget and overage
  • Resolving issues related to the project
  • Keeping updated on compliance policies
  • Recommending changes
  • Kickoff the retrospective process
  • Adjust forecasted hours once a month per account

Client Success Accelerator:

  • Supports organic growth activities within the Center of Excellence
  • Managing internal accelerator calls and reach outs
  • Assist with client pitches as needed
  • Support client communications for new opportunities as needed
  • Updating Netsuite
  • Drafting sales calculators and sharing for validation
  • Drafting SOWs; getting executive approvals and coordination with Cardinal Path legal if needed
  • Facilitating internal organic growth conversations

Knowledge Management: Ensure documentation in the COE knowledge base remains accurate and up to date
  • Monitor produce documentation sources for updated information
  • Edit knowledge base article content with updated information

Requirements
  • Proven experience as an office administrator, office assistant, or relevant role
  • Outstanding communication and interpersonal abilities
  • Excellent organizational and leadership skills
  • Familiarity with office management procedures and basic accounting principles
  • Excellent knowledge of MS Office and office management software (Netsuite, OpenAir, Google Suite, Office 365, Jira, Freshdesk, etc.)
  • Qualifications in secretarial studies will be an advantage
  • High school diploma; BSc/BA in office administration or relevant field is preferred
