- **Responsibilities**:_
- Communicated with multiple groups to plan range of shareholders meetings, Advisory committee meeting, and Steering committee meetings. Established strong relationships to gain support and achieve departmental results.
- Arranged travel arrangements to include finalizing ticket, visa, and hotels; prepare agenda and folder containing all relevant materials and processed business travel expense claims.
- Prepared Purchase order, requisitions, Service Entries, Minor Work Order through SAP.
- Received budget submission and consolidate approval on technical specification on equipment and initiated purchase requisitions.
- Handled two major relocations: assisted over 25 staff office space setups without interruption to business.
- Entrusted to manage office in the supervisor’s absence. Provided timely, courteous and knowledgeable response to information requested.
- Controlled distribution of corporate gift items or any other budget line material and track standard expenditure which resulted in 10% savings in the cost of all office supplies.
- First point of contact for visitors daily, temporary, and permanent RasLaffan QP security Pass, plant and construction site pass and newcomers IT & access cards.
- Maintained leave records workflow structure through holiday coverage scheduler.
- Track deliveries of procurement and physically check shipments of stationary stocks, PPEs from vendors.
- Creating Bid waiver requests for purchase requisitions in case of regularization.
- Completed operational requirements by consolidating inputs on reports; maintain monthly organization chart updates, workforce requisitions and weekly reports.
- Coordinating with the Public Affairs department for the cooperate gifts and arranging venue for department meetings and events.
- Ensured office machines are maintained and in good order by ordering repairs and maintenance services for office facilities, equipment, and vehicles through RasGas Administration Group.
- Document controller/ Information security duties:
- Created effective database system for managing data entry into system for incoming/outgoing memos, letters, reports, contracts, and general correspondence, to include reporting of meeting proceedings.
- Ensure controlled documents are suitably handled to guarantee confidentiality; closed/inactive files are archived in compliance with RasGas/Venture Information security guidelines.
- Scanned and distribute presentation, Minutes of meeting, letters when signed off.
- Coordinate with IT department to ensure laptop, telephone, and teleconference setup for meetings.
- Establish role description for teams’ support activities for migration to new Information storage & retrieval system during cyber-attack.
- Maintained Job Handover check list, Decision records and Document numbering register.
- Training Assistant duties
- Served as departmental focal to coordinate professional, compliance training and self-development programs.
- Developed monthly report on training compliance details to match Executive Leadership team monthly cycle.
- Provided administrative support for Projects management and a team of sixty employees (Direct Hire/Contractor):
- First point of contact for permanent QChem Mesaieed employee gate passes, supplementary pass, RLC plant access cards, Material Exit pass, Camera Permit renewal.
- Consolidate report for Action Items, Subtask and QSafe report for Projects departments updates.
- Raise IT request for Application Request, Hardware request, Resource Request, Software Request, User Management request and various support request.
- Submit Weekly on-call list, MSCM tracking & recognitions, Furniture management, DocuSign request.
- Coordinated key meetings for Senior Project Manager, Project Manager meetings & Leadership Team audits.
- Prepared Purchase order, requisitions, Service Entries through SAP, IChemE purchases and trainings.
- Maintained vehicle records register, MS Team meetings, Developee/Trainee progress meetings.
- Arrange training for new employee orientation NEO/GOT training, Work crew level 1 & 2, Lead worker Level 1 & 2 sessions and various CBT courses.
