The sales admin will be reporting directly to the Sales Director and placed in Massaid Office.
- Office work and sales team support
- Growing customer base and increasing domestic and export sales of lubricants.
- Accountabilities:

- Define and coordinate all existing and new activities within the frame and objectives set by the Sales Director so as to achieve the expected outcomes.
- Develop the synergy between the sales department and all other departments.
- Maintain the company policies and stick to the general guidelines.
- Job Dimensions:

- To handle all office work related to domestic and export sales activity.
- To provide the logistic back-office support to the sales team during their market visits.

Activities
- Always implement the policies of the company in all activities.
- Define, direct, control and coordinate all office activities within the sales department.
- Receive and follow up customer orders in coordination with the sales team.
- Send the company profile, product datasheets, catalogues approvals and certificates to new potential customers in coordination with the Sales Director and the sales team.
- Support the sales team in instant quotations and offers preparation in coordination with the Sales Director.
- Follow-up approved prices per product per customer segment, and adapt periodic price lists in line with the guidelines set out by the Sales Director.
- Handle and control all division documents and files (signatures, filing, scanning,..).
- Track all division orders, POs, delivery notes, invoices and credit notes and present full reports on a weekly basis.
- Insure signed and stamped PO is always presented with each order.
- Ensure a successful implementation of the approved promotional schemes, adhere to the terms and settle the qualified claims.
- Present a monthly hit-rate report of the received inquiries and analyse the outcome.
- Handle the official correspondences with all customers regarding any raised commercial, financial or technical issues in coordination with the related department.
- Build comprehensive list of all institutional customers and Q-companies, work on registering the company as a vendor and respond to all RFQs and tender calls.
- Handle the paperwork of any tender’s submission.
- Attend the weekly sales meeting and support in feeding data to the presentation.
- Monitor customer financial risk and report any concerns to the Sales Director and the Accounts Manager.
- Follow up customer payments and send the reminders on the due date.
- Prepare and modify all department procedures forms to comply with the updated requirements.
- Other duties as assigned.

Qualification
- BSc University degree
- Languages: fluent in English.
- Excellent knowledge of Windows environment and main software (Word, Excel, PowerPoint).
- 2-3 years’ experience in a similar field.
- Autonomy, self-motivation, loyalty, involvement, good inter-personal skills, good managerial skills.
- Preferably lady lives in Massaid or Wakra.

Pay: QAR3,500.00 - QAR5,000.00 per month
