The primary responsibilities of the **Receptionist**:
- Manages the company’s entrance and lobby area including incoming calls
- Answers incoming telephone calls, determines the purpose of calls, and forward calls to appropriate personnel or department. Ensures that each call is handled and directed in a proficient manner
- Takes and delivers messages or transfers calls to voice mail when appropriate personnel are unavailable
- Maintains solid customer relationships by handling questions and concerns with speed and professionalism and provides callers with addresses, directions, and other information
- Welcomes on-site visitors determines nature of business and announces visitors to appropriate personnel
- Monitors visitor access and issues pass when required
- Assist in the planning and preparation of meetings, conferences, and conference telephone calls
- Orders receives, and maintains office and pantry supplies
- Updates meeting room calendars, receives, sorts, and routes mail; maintains and routes publications
- Maintains fax machines, assists users, sends faxes, and retrieves and routes incoming faxes
- Responsible for the management and safekeeping of petty cash, disbursement, and replenishment process
- Maintaining Meeting rooms, ensuring tidiness, room ready prior to meetings (projector), and stationery supply for whiteboards
- Monitors and updates Reception forms/documents
- Plans, logs, and monitors drivers’ daily schedules and route
- Monitors and organize Tea Boys’ daily tasks and availability; Receives and arranges employee request for Tea Boy’s assistance
- Performs other clerical duties such as filing, photocopying, and collating
- Handles special administrative projects, as well as overflow work from department and executive assistants. Also, may assist other administrative staff with overflow work, including word processing, data entry and internet research tasks
- Assist with Travel requirements for the company when needed
- Provide word-processing and secretarial support
**Knowledge & Skills**:
- Must have the ability to develop and maintain efficient filing systems
- Proficient in Microsoft Office
- Ability to multi-task and prioritize projects efficiently
- High command of written/spoken English and Arabic
- Outstanding reading, writing and verbal communication skills
- Ability to effectively work individually or in a team environment
- Ability to liaise with staff
- Ability to work well under tight deadlines and respond to rapidly changing demands and fulfill efficient follow-ups
- Extremely organized and highly disciplined
- Must possess excellent organizational skills with the ability to prioritize tasks and anticipate needs
- Must demonstrate the capability to multi-task and work within strict deadlines
- Capability to handle sensitive and complex issues with discretion and good judgment
- Understand MEEZA’s business including the integration of functional departments
**Education**:
- Diploma/Bachelor’s Degree in office administration or equivalent
- At least two (2) years of experience in a similar role
