Northwestern University in Qatar (NU-Q) Production Coordinator is to provide day-to-day management of all the department’s administrative and operational functions. Coordinates a wide variety of administrative processes & activities related to the functions and the mission of the Production Department, such as database, budget, & HR - maintenance & reporting; communications & management of supervisor(s) &/or dept's multiple calendars & events. Reviews administrative work procedures, policies & operational methods; identifies & documents as applicable Standard Operating Procedures (SOPs); best practices; appropriate filing & audit mechanisms; financial & performance metrics reporting; & regulatory & compliance systems. **Responsibilities**:
- Manages day-to-day administrative operations.
- Ensures that program/project mission, values, guidelines, policies & procedures are
- Creates &/or maintains complex spreadsheets &/or databases &/or reports, queries, charts, etc., based on the supervisor's information objectives.
- Administers budgets for awards &/or the dept which may include approving purchases, reimbursements &/or orders.
- Creates & monitors budget statements.
- Resolves discrepancies &/or outstanding encumbrances.
- Coordinates with vendors and other NU units all the department’s incoming shipments and RMA.
- Represent the dept, program or project with various levels of personnel both internally & externally, managing & facilitating confidential &/or critical information.
- Manages complex scheduling arrangements involving multiple parties & conferences, international travel, etc.
- Coordinates large scale &/or complex events.
- Coordinates and assists with student worker recruitment.
- Refers students to appropriate resources.
**Minimum Qualifications and Competencies**:
- Successful completion of a full 4-year course of study in an accredited college or university leading to a bachelor's or higher degree; OR appropriate combination of education and experience
- 2 years of administrative support or other relevant experience required.
- A minimum of 1 year of related professional experience in the media industry with demonstrated knowledge of production equipment, environment and related facilities.
- Demonstrated organizational skills and ability to take initiative and work independently.
- Fluency in English language
- Ability to lift/move equipment up to 20 kg.
**Preferred Qualifications and Competencies**:
- 2-3 years of related professional experience in the media industry.
- Knowledge of camera, lighting and sound equipment.
- Knowledge of audio/video software (Adobe, DaVinci Resolve, ProTools) practices.
- Knowledge of a Production environment and facilities related to production.
- Ability to maintain respectful and effective working relationships with a variety of parties throughout the University community.
- Ability to move/lift equipment when necessary.
- Ability to work independently.
- Strong interpersonal, communication and organizational skills
- Experience working in a higher education environment.
