Job Summary:

The Dining Operations Coordinator will play a vital role in supporting the overall operations of our hotel as needed. This position is responsible for providing exceptional administrative support to the Food & Beverage team, ensuring seamless day-to-day operations.

Key Responsibilities:

  1. Type documents, take meeting minutes, draft letters, and manage correspondence: Prepare accurate and timely documents, including meeting minutes, letters, and reports, to facilitate effective communication within the team.
  2. Support the overall operations of the hotel as needed: Provide proactive support to various departments, ensuring seamless operations and excellent guest experience.
  3. Assist the outlet manager in developing policies and procedures: Collaborate with the outlet manager to develop and implement policies and procedures for the Food & Beverage Operation Manual.
  4. Maintain and secure all Food & Beverage files: Ensure accurate and up-to-date filing systems, maintaining confidentiality and security of sensitive information.
  5. Help prepare and print outlet menus for managers: Assist in preparing and printing menu materials, ensuring accuracy and timeliness.
  6. Create and maintain a Food & Beverage database: Develop and maintain a comprehensive database of suppliers, guests, and contacts, facilitating efficient communication and record-keeping.
  7. Prepare materials for various meetings: Coordinate and prepare materials for Daily Operations, Executive Committee, and Sales & Marketing meetings, ensuring timely distribution and facilitation of discussions.
  8. Assist with the purchase request process: Support the Food & Beverage Division with purchase requests, ensuring compliance with established protocols.
  9. Direct Food & Beverage inquiries to the appropriate staff members: Handle guest inquiries and concerns, directing them to the relevant personnel for prompt resolution.
  10. Coordinate and manage a master weekly schedule: Develop and maintain a comprehensive schedule for the division, ensuring optimal resource allocation and minimizing conflicts.
  11. Process monthly attendance and payroll: Manage attendance and payroll records, ensuring accuracy and compliance with company policies.
  12. Create and maintain team rosters: Develop and maintain accurate team rosters, ensuring up-to-date information on staffing levels and schedules.

Requirements:

  • Excellent organizational and multitasking skills: Demonstrated ability to prioritize tasks, manage multiple projects, and maintain high levels of productivity.
  • Proficient in Microsoft Office Suite and Oasys system: Strong proficiency in using software applications, including Microsoft Office Suite and Oasys system.
  • Strong communication skills, both written and verbal: Excellent written and verbal communication skills, enabling effective interaction with colleagues, management, and guests.
  • Ability to work collaboratively in a team environment: Proven ability to work collaboratively with diverse teams, promoting a positive and inclusive work culture.
