Job Title: HR Filing and EDocs Administrator

We are seeking a highly organized and detail-oriented individual to join our team as an HR Filing and EDocs Administrator. As a key member of our Human Resources department, you will be responsible for ensuring the efficient and accurate management of employee files and documents in our E-Docs system.

Key Responsibilities:

  • Supervise the filing of documents based on categorized sections.
  • Digitize documents and maintain them in a well-organized manner.
  • Understand document content to accurately classify and scan documents into specific folders in the E-Docs system.
  • Follow up on filing room projects through concept, development, testing, piloting, and rollout phases.
  • Maintain and complete updated and orderly filing systems at all times.
  • Responsible for the movement of old/resigned staff files from the filing room to an off-site warehouse in an orderly manner.
  • Administer to enable quick search of files, even those separated files, whenever required.
  • Arrange and maintain resigned files yearly-wise with reference numbers.
  • Perform administrative tasks related to E-Docs, such as user creation in the E-Docs system based on approvals.
  • Handle inquiries (email, OCS, and phone requests), sort or classify information according to guidelines, track file movement to ensure borrowed files are returned, and perform other department duties as directed by the Head of the Department.

Qualifications and Requirements:

  • Internal candidates must have completed a minimum of 10 months in their current role to apply for a new role.
  • All internal candidates can only have three active applications at any point in time.
  • All internal candidates with an active final warning letter will be automatically disqualified from the recruitment process.
  • Cabin Crew or Deck Crew (Qatar Airways & Qatar Executive) candidates require NOC to apply for this role.
