Job Summary

The Medical Records Officer will be responsible for creating new medical records and retrieving existing ones by gathering relevant information, assigning and recording new record numbers, verifying existing record numbers, and inputting and recording locations to the computer. The successful candidate will also be responsible for delivering records to assigned areas of the hospital, tracking and organizing medical records, and ensuring accuracy and privacy in report management.

Key Responsibilities
  1. Gather patient information by collecting demographic data from various sources, interacting with registration areas and physicians' offices, and retrieving information from automated printers.
  2. Retrieve medical records by following chart-out procedures and documenting reasons for non-retrieval.
  3. Deliver charts to assigned areas of the hospital by following established routing procedures.
  4. Assist in tracking and organizing medical records, ensuring accurate storage and archiving.
  5. Arrange transfer of documents to respective clinics or patients as required.
  6. Provide administrative support for Medical Records Management.
  7. Collate medical reports and verify completeness.
  8. Maintain continuity of work operations by documenting and communicating actions, irregularities, and continuing needs.
  9. Ensure accuracy and privacy in report management and when sending reports to clients.
  10. Prepare Health Screening Reports for review appointments or patient requests.
  11. Liaise with other departments for results and reports, and follow up on pending cases.
  12. Keep healthcare providers informed by communicating availability or unavailability of records.
  13. Maintain quality results by following hospital standards.
Additional Responsibilities
  1. Maintain patient confidentiality by keeping patient records information confidential.
  2. Serve and protect the hospital community by adhering to professional standards, hospital policies, and procedures, including JCI accreditation standards.
  3. Adhere to policies, procedures, standards, and protocols related to the release of protected health information.
  4. Train hospital staff on principles of confidentiality and privacy of protected health information and management of health information.
  5. Train clinical staff on the importance of accuracy and completeness of medical records.
  6. Generate reports from the system related to the completeness of medical records.
  7. Train physicians in insurance and coding.
  8. Perform other assignments as required by the Medical Records Manager.
Job Knowledge & Skills

The ideal candidate will possess proficiency in EHR, Microsoft Office, and speech recognition software, as well as knowledge of medical terminology, medical transcription guidelines, and practices. Strong critical thinking skills, ability to work under pressure, and excellent time management skills are also essential.
