We are seeking an Office Management Specialist to oversee administrative functions, develop and implement relevant administration systems, and ensure compliance and efficient utilization of resources.

This role involves managing administrative tasks and activities, providing frontline support to the Sasol office, and ensuring high quality standards in all aspects of administration.

Key Responsibilities
  • Manage administrative tasks and activities to ensure high quality standards.
  • Develop, implement and maintain relevant administration systems, policies and procedures to ensure compliance and efficient utilization of resources.
  • Manage service delivery for administrative requirements and coordinate interaction with service providers including supervision of onsite staff.
  • Ensure all office equipment is well maintained and functioning properly.
  • Coordinate office catering arrangements ensuring quality and cost efficiency.
  • Provide frontline support to the Sasol office, including IT call logging and coordinating support from regional hubs.
  • Provide efficient secretarial and administration support to senior managers in the office. Manage the PSM function within the Sasol office.
  • Formalize and facilitate procurement processes in the office to ensure compliance and effective performance.
  • Manage interface with PSM functionaries in South Africa to ensure effective service delivery.
  • Negotiate contracts and service level agreements to achieve cost management and compliance objectives.
  • Perform transaction analyses and reports to monitor and improve the efficiency of the PSM process quarterly.
  • Maintain contract register ensuring it is always up to date. Administer office safety related activities.
  • Establish safety as a team priority. Promote awareness, appropriate training and an environment conducive to zero harm.
  • Embed the One Sasol SHE Excellence approach.
  • Assist manager operations with updating safety management systems.
  • Prepare monthly SHE reports ensuring accuracy and timely submission.
  • Conduct safety inductions for new staff, introducing them to Sasol safety culture and values.
  • Conduct emergency evacuation exercises twice a year to confirm staff awareness.
  • Conduct monthly SHE office inspections ensuring a safe environment.
  • Identify and schedule SHE training for staff.
  • Coordinate quarterly inspections of first aid boxes ensuring availability and validity of items.
  • Administer ORYX GTL technical service agreement work requests.
  • Prepare accurate back-to-back work requests within 3 working days.
  • Forward approved work requests to concerned parties, saving documents on shared folders.
  • Regularly update work request register.
  • Prepare timesheets if required. Manage hotel corporate agreements.
  • Ensure all contracts are up to date and registered on the Sasol database.
  • Maintain beneficial relationships with hotel representatives.
  • Update Rennies with all agreements in place.
  • Act as focal point for hotel booking for Sasol staff and visitors.
  • Ensure hotel services are properly provided to guests, acting promptly on complaints.
