About the Role

Ali Bin Ali is hiring an experienced and skilled Office Manager to join our team. The ideal candidate will have a proven track record of delivering exceptional administrative support to senior executives.

Key Responsibilities

  1. Manage the calendar for the Vice President/General Counsel, ensuring timely updates and access to relevant information.
  2. Provide top-notch support to visiting lawyers and clients.
  3. Prepare and distribute meeting minutes and reports to relevant stakeholders.
  4. Write and edit correspondence, reports, and presentations for the VP/GC and legal counsel.
  5. Build strong relationships with external partners to facilitate smooth collaboration and communication.
  6. Manage office expenses and budgeting processes.
  7. Serve as the primary point of contact for all legal inquiries and requests.
  8. Offer guidance and support to employees on office administration matters.
  9. Stay up-to-date on regulatory requirements and ensure compliance with all relevant laws and regulations.
  10. Maintain accurate records of legal matters, cases, and projects.
  11. Support the legal team in client interactions and negotiations.
  12. Research and analyze complex legal issues to support the legal counsel.
  13. Communicate important updates and developments to internal teams.
  14. Optimize office layout and manage stationery and equipment procurement.
  15. Plan and coordinate company events and external collaborations.
  16. Coordinate projects globally.
  17. Monitor and report on compliance initiatives and recommend improvements.
  18. Lead the administrative team and drive process improvements.
  19. Work closely with HR to identify training needs and communicate with the administrative team about new skills.
  20. Develop and implement comprehensive administrative systems.
  21. Identify areas for improvement and offer suggestions to enhance contract management.
  22. Compile and analyze data to inform strategic decisions.
  23. Perform additional tasks as assigned by the VP/GC.

Requirements

  • Bachelor's degree in a relevant field such as Law, Business, Sociology, HR, or Political Science.
  • Minimum 5 years of experience in a similar role.
  • Knowledge of administrative systems and procedures.
  • Understanding of Qatar laws, regulations, and court procedures.
  • Proficiency in English and Arabic, with French being an asset.
  • Excellent written and verbal communication skills.
  • Advanced proficiency in Microsoft Office.
  • Proven time management and multitasking abilities.
  • Strong organizational and planning skills in a fast-paced environment.
  • Creative problem-solving skills.
  • Charismatic presence at all times.
