Building Maintenance Supervisor

As a key member of the Ali Bin Ali team, you will be responsible for overseeing and delivering a wide range of operational support and administrative functions across all our facilities. This includes managing daily operations, purchasing, supplier/vendor management, and FM contracting agencies.

Responsibilities and Accountabilities

  1. Develop and implement plans for building work and renovations, ensuring energy efficiency and cost-effectiveness.
  2. Review and provide input on plans for new buildings, alterations, or extensions.
  3. Advise on cost and time-saving measures during facility alterations/modifications, while ensuring compliance with safety regulations.
  4. Evaluate contracts, recommend changes, and coordinate renewals to optimize FM services.
  5. Oversee projects related to facility alterations/modifications.
  6. Lead and undertake audits for tenant warehouses/facilities to ensure health and safety requirements are met.
  7. Follow up on audit observations and coordinate with FM and tenants to close actions within a stipulated timeframe.
  8. Maintain an Accident Report Book, investigating incidents and filing reports according to ABA QHSE standards.
  9. Manage CCTV operations and respond to information from the Security Supervisor.
  10. Evaluate FM quotes and negotiate with suppliers for cost reduction.
  11. Manage security, cleaning services, and pest control to ensure customer satisfaction.
  12. Implement traffic management at the facility.
  13. Manage first aid facilities, procure medicine, and audit processes.
  14. Monitor safe STP processes at the facility.
  15. Record and monitor utility readings, forwarding details to the finance office for back charging.
  16. Manage soft and hard service operations of the facility/property.
  17. Coordinate waste management operations with the FM team and recycling companies.
  18. Enforce compliance with PTW procedures across facilities, recording violations and accidents/loss hours.
  19. Custodian of facility keys, issuing, recording, and maintaining them.
  20. Liaise with the FM team for successful inspections by regulatory bodies.
  21. Advise managers on health and safety legislation, ensuring employee and visitor safety.
  22. Establish budgets for FM operations and training programs.
  23. Supervise MEP, HVAC, and facilities maintenance by the team and third parties.
  24. Manage local purchases of cleaning materials, equipment, and supplies.
  25. Coordinate the tendering process for repairs and maintenance.
  26. Maintain machinery/test equipment lists and calibration certificates.
  27. Adhere to health and safety policies and procedures.
  28. Oversee staff accommodation administration in coordination with Admin and H&S Officer.
  29. Advise management on regulatory changes affecting logistics facilities and utilities.
  30. Analyze tender submissions for technical suitability.
  31. Reduce facilities maintenance costs without compromising quality or performance.
  32. Excellent analytical and problem-solving skills required.
  33. Provide mentoring and coaching as needed.
  34. Arrange contract staff and training for breakdown maintenance and planned preventive maintenance.
  35. Suggest constructive changes for improvement.
  36. Enhance operational efficiency through discussions and decisions.
