Job Purpose

To manage front desk operations while supporting HR functions, with a key focus on maintaining accurate timekeeping records and handling HR documentation efficiently.

Key Responsibilities

Reception & Front Desk Duties
- Greet and assist visitors, clients, and staff with professionalism and warmth
- Maintain a clean, organized, and welcoming reception area
- Schedule appointments and manage meeting room bookings
- Handle incoming and outgoing correspondence and deliveries

Timekeeping & Attendance Management
- Monitor daily employee attendance and punctuality
- Maintain and update biometric or manual timekeeping systems
- Prepare and submit attendance reports for payroll processing
- Track overtime, leave balances, and absenteeism
- Coordinate with department heads to verify shift schedules and attendance discrepancies

HR Documentation & Administrative Support
- Maintain and organize employee records and HR files
- Assist in preparing contracts, offer letters, and HR memos
- Support onboarding and offboarding documentation
- Ensure compliance with Qatar labor laws and company policies
- Assist in internal audits and documentation reviews

General Office Administration
- Manage office supplies and inventory
- Liaise with vendors and service providers
- Prepare reports, presentations, and meeting minutes
- Support HR initiatives such as training sessions and employee engagement activities

Qualifications & Requirements
- Minimum 3 years of experience in a receptionist or HR admin role in Qatar
- Proficiency in MS Office (Excel, Word, Outlook) and timekeeping software
- Fluent in English; Arabic is a plus
- Strong attention to detail and confidentiality
- Presentable, approachable, and professional appearance

Preferred Attributes
- Experience with biometric attendance systems or ERP platforms
- Familiarity with Qatar labor law and visa procedures
- Certification in HR, office administration, or document control is an advantage
