Location: Qatar
About the Role: The executive secretary plays a crucial role in supporting senior executives by providing comprehensive administrative assistance. This position requires a high level of organizational skills, attention to detail, and the ability to manage a variety of tasks efficiently. The executive secretary ensures the smooth operation of the executive office, enabling senior executives to focus on strategic initiatives.
**Responsibilities**:
- Manage executive schedules, including appointments, meetings, and travel arrangements.
- Prepare and edit correspondence, reports, presentations, and other documents.
- Handle confidential information with discretion.
- Schedule and coordinate meetings and conferences.
- Prepare agendas, take minutes, and distribute meeting materials.
- Ensure all necessary arrangements for meetings are in place.
- Act as the primary point of contact between executives and internal/external stakeholders.
- Draft and proofread correspondence, ensuring accuracy and professionalism.
- Maintain organized filing systems for electronic and paper documents.
- Ensure all documentation is accurate, up-to-date, and accessible.
- Handle legal and financial documents with care and compliance.
- Arrange travel itineraries, accommodations, and transportation for executives.
- Prepare and process travel expense reports.
- Oversee office supplies and equipment maintenance.
- Coordinate with IT and facilities departments to address any issues promptly.
- Assist in planning and executing company events and functions.
- Support special projects and initiatives as assigned by executives.
- Conduct research and compile data to assist in decision-making processes.
**Education and Experience**:
- Bachelor’s degree in business administration, communications, or a related field (preferred).
- Minimum of 3-5 years of experience in an executive support role.
- Exceptional written and verbal communication skills.
- Strong organizational and time management abilities.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Ability to work independently and as part of a team.
- High level of discretion and confidentiality.
- Proficient in English, Arabic
