Junior Account Manager and Sales Back Office

This position requires strong organizational skills, attention to detail, and the ability to handle multiple tasks simultaneously. Anticipate and meet the needs and requirements of Clients, Guests, Service Partners, and/or guarantee a smooth and successful operation, by performing duties and responsibilities as assigned by the Operations Manager and/or Operations Management.
- Manage all types of accounts, including recurring customers, by securing their space bookings and upselling QNCC services. If necessary, prepare a sales proposal and negotiate the total event deal.
- Monitor and monitor space bookings for assigned events, recommend changes as needed, and provide advice based on industry best practices. Examine and examine any potential conflicts with other event activities.
- Evaluate client event requirements, interpret technical rider in terms of real events, and provide operational advice. Subsidiary places should be reserved in case of any revisions or requests.
- Coordination with departments and procurement is required to create QNCC service quotations.
- Manage the Hiring Agreement
- Work with the client, service delivery department, contractors, and procurement team to develop an event budget for QNCC services and outsourced services in the case of event management services.
- Once the event is confirmed, accept the handover from the sales team.
- Lead site visits to ensure that customers or event organizers are familiar with all rented locations and neighbouring public spaces.
- Communicate and negotiate with the client, manage the timetable, and ensure the delivery of all required material, such as floor plans, event agendas, MDS sheets, production schedules, contractor's guidelines, badge samples, VIP list, and sample car badges. Ensure receipt of precise event requirements for HSE, audio visual, information technology, building services, food and beverage, branding, VIP and protocol, housekeeping, and so on.
- Communicate with departments, assure event readiness, manage adjustments, and capture service delivery data using EBMS. Ensure that the service departments have enough people to run the event smoothly.
- Using EBMS, manage the complete event information flow by scripting and uploading all required and appropriate data.
- Communicate floor plan needs with CAD designer and obtain client permission before transferring to setup teams.
- Liaise with the HSE team on guest arrival, VIP or protocol needs, move / out, safety aspects, and so on. In the case of high-level VIP attendance, collaborate with Protocol teams to communicate venue lock downs and access limits.
- Ensure that the insurance, exhibition license, and most recent events / exhibition floor plans are uploaded to EBMS.
- Raise requisitions through BPM and communicate with procurement for various services requiring outsourced services that may be sought by clients as part of the management process and execution.
- Manage contractors and suppliers by collaborating with the Procurement team and holding regular client meetings.
- Prior to the event, ensure receipt and upload digital screen signage in all rented spaces. Manage changes and sign updates.
- Communicate exhibitor orders and assist departments and suppliers with requirements.
- Using EBMS, manage exhibitor orders and services, send bills, and ensure payments are received in advance of service confirmation.
- Collaborate with the Housekeeping team to plan trash management and on-stand / aisle cleaning.
- Manage exhibition stand services through the service desk, take payments, issue invoices via EBMS, and handle on-site requirements. Daily coordination with the Finance department regarding receivables.
- Manage the Logistics Company's marshalling yard and loading dock activities.
- Serve as the primary point of contact for clients, contractors, and other stakeholders, effectively articulating event needs and expectations to all parties involved.
- Communicate QNCC HSSE Rules & Regulations, Exhibition rules, Contractor Guidelines, and Emergency Evacuation Plans to clients, and educate them on the contents of the rules.
- Inform Senior Management and Guest Services of the VIP attendance list.
- Prior to large events and exhibitions, facilitate pre-event briefings and contractor briefings.
- Provide clients and other stakeholders with information about QNCC's operational policies & processes, facilities, and services.
- Provide Management with daily event updates.
- Act as a mediator in conflict situations.
- Attend an operation meeting to discuss the event and the event readiness of the QNCC team.
- Ensure that QNCC communication norms are carefully followed while dealing with clients, event organizers, contractors, exhibitors, suppliers, departments, and so on.
