Job Overview: The Logistics Operations Specialist at Noble House Training & Services is responsible for managing the end-to-end process of shipping and delivering items to Doha, ensuring all operations are conducted efficiently and within the required timelines. This role includes coordinating shipments via air, sea, and land, liaising with vendors, freight forwarders, and customs authorities, and working closely with warehouse teams to ensure smooth operations. The Logistics Operations Specialist ensures cost-effective and timely delivery of goods while maintaining compliance with regulations and company policies.

Key Responsibilities:

  1. Shipping and Delivery Management

o Plan and manage the transportation of goods via air, sea, and land to ensure timely and efficient delivery.

o Coordinate with freight forwarders, shipping lines, and transport providers to secure the best rates and schedules.

o Monitor shipment progress, ensuring updates are timely communicated to relevant stakeholders.

o Oversee customs clearance, ensuring all necessary documentation is prepared and compliant with local regulations.

  1. Vendor Coordination

o Act as the primary point of contact for vendors, suppliers, and freight forwarders regarding shipment schedules, delays, and other logistics-related concerns.

o Negotiate contracts and shipping terms with vendors and logistics providers to achieve cost-effective solutions.

o Ensure vendors adhere to agreed timelines and quality standards for shipments.

  1. Warehouse Coordination

o Liaise with warehouse teams to manage shipments and ensure proper storage and handling of goods upon arrival.

o Coordinate delivery schedules to align with warehouse capacity and operational needs.

o Track inventory levels and report on discrepancies or issues affecting logistics timelines.

  1. Documentation and Compliance

o Prepare and maintain all necessary shipping and logistics documentation, including invoices, packing lists, bills of lading, customs declarations etc.

o Ensure compliance with international trade regulations, customs requirements, and company policies.

o Maintain accurate records of all shipments and logistics activities for reporting and auditing purposes.

  1. Problem Solving and Optimization

o Identify and address issues such as shipment delays, damaged goods, or miscommunications with vendors.

o Analyze logistics processes to identify opportunities for cost savings and operational improvements.

o Develop contingency plans to mitigate risks and ensure continuity in supply chain operations.

  1. Reporting and Communication

o Provide regular updates to management and relevant stakeholders on shipment statuses and logistics performance.

o Track and report on logistics costs, ensuring budgets are adhered to and any variances are justified.

o Foster clear communication and collaboration between all departments involved in the logistics process.

Qualifications:

1) Proven experience in logistics or supply chain roles, with expertise in air, sea, and land transportation.

2) Strong knowledge of customs regulations, shipping documentation, and international trade requirements.

3) Excellent organizational and time management skills, with the ability to handle multiple priorities simultaneously.

4) Strong communication and negotiation skills to liaise with vendors and internal teams effectively.

5) Attention to detail and problem-solving skills to address logistics challenges efficiently.

6) Familiarity with warehouse operations and inventory management is a plus.

7) Proficient in Microsoft Office Suite.
