Responsibilities:

  • Support the database administrator in formulating methods and indicators needed for the management and monitoring of the database and systems used for the development of policies and procedures.
  • Produce statistical data for monthly reporting
  • Support in the follow-up on periodic review of policy documents to ensure all departments abide by the policies and procedures revision dates
  • Record and keep track of all follow-up communications with the concerned stakeholders
  • Ensure that all hard copies of old policies and procedures documents are retrieved from the Health Centers and other available locations and replaced by the updated ones.
  • Support in the printing filing and dissemination of hard copies of most recent policies and procedures to all concerned departments and staff.
  • Support in printing, filing and maintaining the central hard copy archive for all PHCC policies and procedures and other related documents.
  • Support in the periodic update of the central archive and safe destruction of documents older than 10 years in line with the internal policy on archiving of policy documents
  • Conduct periodic verification and comparison between the user database of the policy system and the ERP system to ensure they are aligned
  • Conduct periodic visits to all departments and Health Centers to ensure that all staff have access to the policy system and provide them with training on how to access and utilize the system features
  • Provide technical support at headquarters and Health Centers to troubleshoot system accessibility of functional issues
  • Report technical issues to the database administrator for follow-up with technical team as necessary
  • Demonstrate proactive approach to patient safety by thinking what might go wrong in all undertakings and take necessary measures to prevent them from happening.
  • Identify and report potential or actual patient safety concerns, errors and/or near misses in timely manner.
  • Follow patient safety-related policies, procedures and protocols.
  • Demonstrate a sense of team work and effective communication.
  • Partner with line manager to understand risks in the area of work, develop a plan on how to mitigate those risks, and develop shared accountability for implementing and evaluating the plan.
  • The incumbent will undertake any such appropriate duties or responsibilities as directed.
  • Ensure high standards of confidentiality to safeguard any sensitive information.

Skills

Job Requirements:

  • Bachelor’s Degree in Information technology or other related fields
  • Minimum of 3 years of experience in database administration
  • Knowledge of document control principles
  • Ability to conduct qualitative and quantitative analysis
