Job Description

We are seeking a highly organized and proactive Logistics Coordinator & Admin to support the daily operations of our dynamic team. In this role, you will be responsible for ensuring smooth logistics and administrative processes, managing office tasks, and providing essential support to various departments. The ideal candidate will have strong organizational skills, attention to detail, and the ability to multitask in a fast-paced environment.

Position and Reporting Structure
As a Logistics Coordinator & Admin, you will report directly to the Customer Services Operations Manager and will be an integral part of our Admin team.

Key Duties and Responsibilities
  1. Plan, coordinate and monitor inbound and outbound logistics operations.
  2. Ensure timely and accurate submission of documentation for shipping, customs clearance, and inventory records.
  3. Prepare the goods to be in accordance with Dedienne Aerospace packaging standards.
  4. Liaise with suppliers and logistic providers in order to ensure timely shipments.
  5. Identify and resolve logistics issues to optimize efficiency and reduce costs.
  6. Work with warehouse teams in order to oversee the stock levels and timely restocking.
  7. Utilize ERP software to track logistics activities, update records and generate reports.
  8. Maintain accurate and up-to-date records of shipments, supplier transactions and logistics operations.
  9. Provide general administrative and clerical support to various departments, including engineering, procurement, and logistics teams.
  10. Maintain accurate records and filing systems, both digital and physical.
  11. Handle internal and external communication, including emails and phone calls.
  12. Process purchase orders and assist in preparing monthly expense reports.
  13. Utilize ERP software to manage goods receipt.
  14. Support HR and finance teams with documentation, data entry, record-keeping, and compliance tasks.
  15. Monitor and manage office supplies, placing orders when necessary and ensuring cost-effectiveness.
  16. Coordinate with internal departments to understand their needs and provide timely solutions.
  17. Follow all safety protocols and standards while performing daily assignments.
  18. Complete any additional tasks or special assignments as instructed by the Manager, or ad-hoc duties as required.
  19. Handle confidential information with discretion, ensuring it is stored securely and shared only with authorized personnel.
Qualifications
  1. Proven experience in logistics and supply chain management (min 3-5 years).
  2. Bachelor's degree in Business Administration, Office Management, or a related field (preferred).
  3. Associate degree or relevant certification may be considered with sufficient experience.
  4. 3-5 years of administrative experience.
  5. Proficiency in MS Office.
  6. Strong organizational, multitasking, and communication skills.
  7. Strong interpersonal skills for effective communication across departments.
  8. A proactive attitude with a problem-solving mindset.
  9. Ability to handle confidential information with discretion.
  10. Ability to work in a fast-paced environment and manage multiple priorities.
