A Receptionist cum Admin role combines front-desk responsibilities with administrative duties. Below are the key responsibilities associated with this position :

Front-Desk Responsibilities

  1. Greeting Visitors: Welcome guests, clients, and employees in a professional manner.
  2. Managing Reception Area: Keep the reception area tidy and presentable.
  3. Handling Calls: Answer and direct incoming phone calls to the appropriate person or department.
  4. Visitor Management: Maintain visitor logs and issue visitor passes if necessary.
  5. Mail and Courier Services: Receive, sort, and distribute mail and packages.

Administrative Responsibilities

  1. Scheduling and Calendar Management: Arrange meetings, book conference rooms, and manage schedules.
  2. Data Entry: Maintain and update company records, databases, and documentation.
  3. Procurement: Order office supplies and maintain inventory.
  4. Correspondence: Draft emails, letters, and other official communications.
  5. Coordination: Act as a liaison between departments for smooth communication and task flow.
  6. Record Keeping: Maintain accurate records of office activities, including attendance logs and vendor details.
  7. Expense Tracking: Assist in managing budgets and processing invoices.
  8. Event Support: Help organize company events, meetings, or training sessions.
  9. Onboarding Support: Assist HR in onboarding new employees (e.g., setting up workspaces, providing access cards).

Other General Duties

  1. Customer Service: Address client or visitor queries and provide information about the company.
  2. Problem-Solving: Handle any administrative issues or escalate them to the relevant person.

This combined role requires strong communication, multitasking, and organizational skills, along with proficiency in office software like MS Office or Google Workspace.
