Proactively managing the employees’ accommodation and living conditions including the utilities and hygiene. (Water & electricity, maintenance & cleaning) to mitigate the health and safety.
Accurate tracking of manpower presence within the camp as well as their working sites.
Resolving issues related to personal disputes and accommodation in coordination with the Admin Officer.
Represent the administration section of the Human Resources/Human Capital Department within the camp and to be the primary point of contact for any incidents and employees’ issues.
Ensuring the discipline in the camp and implementation of the accommodation policies.
Provide weekly/Monthly reports for the Human Resources/Human Capital Department.
**Responsibilities**:
Managing the daily camp operations and activities to ensure the following of the company policies.
Prepare the daily morning report of all Company’s Camps.
Monitor the Checking in and checking out of the employees and maintaining the records
Prepare the Daily Morning Report of the employees staying in the camp/not reporting to duty on daily basis to Admin officer along with the valid reason.
Managing the room allocations efficiently by recording and reporting the new comers/returning employees/vacating employees.
Providing the furniture and material to employees from the main store, by making the internal supply request (ISR) to ensure clean, safe and suitable environment for the employees.
Supervising the cleaners for Housekeeping involving cleaning of corridors, toilets, kitchen, camp surroundings as well as pest control and sanitization.
Clearance of sewerage water by monitoring the vehicles trips daily.
Conduct routine visits at night (twice weekly) for inspection to ensure that Night Security Guard is available and the employees are residing within the assigned accommodation.
Report to the admin officer any incident/accident pertaining to the employees and the accommodation for necessary and immediate action.
Ensuring timely ordering and maintenance of inventory of all camp supplies, tools, and equipment necessary for the maintenance and operation of the camp facilities.
Coordinate for the employees’ shifting by communicate to the employees ensuring the shifting is handled and executed accurately as per the shifting report.
Intimating and updating the Admin Officer regarding any labor negligence/instructions’ refusals/runaways of the employees, if any.
Coordination with the Admin officer for new arrivals/departures, distribution of official correspondence as well IDs, Medical Cards, Air Tickets and schedules.
Initiating the Fast Accident Report immediately for the accident/ incident and forwarding it to the HSE and Admin Officer.
Maintain the First Aid Box with the supplies and provide first aid in the event of any accident.
Calling the ambulance in the event of any accident requiring immediate medical attention and informing the HSE officer/Admin Officer.
Identifying the employees needs in the camp and forwarding to Admin officer for the Approval.
Receiving, verifying and forwarding to the Human Resource/Human Capital department all the invoices related to the camp services.
Properly maintaining and filing the records and documents in hard as well as soft copies.
Coordinate for the scheduled inspection of the rooms and monitor the CCTV to ensure the safety of the employees and the camp area.
Prepare weekly/monthly reports for the Human Resources/Human Capital Department regarding the employees, accommodation, material, utilities, incidents, accidents as well as the facilities.
Performs any other similar duties assigned by Administration and Personnel Manager
**Expected Deliverables / Accountable**:
Available of water, electricity, cleaning of toilets/kitchens and installation of safety accessories such as fire extinguisher, fire blanket etc.
Timely removal of sewage/waste waters from all camps.
Regular tracking of employees within the camps.
Timely communication of employee’s runaway and follow up of actions.
Timely shifting of employees to the sites as per the shifting report.
Act as a deputy of the Human Resource/Human Capital department and provide all services pertaining to the employees and camps in coordination with Admin Officer.
Full Presence in the camp.
**Job Requirements**:_______________________
1. High School or Diploma. Baccalaureate (Bachelor’s Degree) preferrable or equivalent
2. 3 - 5 years of relevant working experience, with good technical knowledge and analytical mind to resolve Problems
3. Able to Communicate clearly and effectively, English (Must). Any Additional Language will be an advantage.
4. Knowledge of administrative and clerical procedures and systems
5. Ability to work in an environment requiring strong discipline and attention to details.
