The primary duties and responsibilities include, but are not limited to, the following:

- Attends to various constituents entering and calling the records office with a service-oriented attitude and address enquiries with service excellence.
- Follow up on inquiries in a prompt fashion, completing the necessary & sufficient research to resolve any issues.
- Recognize issues that have the potential to escalate and resolve at once.
- The first point of contact for releasing all outgoing documents to students and graduates. Consistent tracking of documents from start to finish.
- Process/monitor and support transcript requests regularly.
- Help scanning documents and maintain correct filing of physical and electronic documents
- Receive and prepare enrollment and graduation verification requests regularly.
- Aid in updating the database in capturing data of NU-Q students/alumni accurately so that reports can be generated to suit the operational needs of the institution.
- Supplies administrative support for the records office by preparing forms, reports and other correspondence relevant to students
- Update and ensure all e-forms are current and up to date on My NU-Q page
- Collect, organize, and process information on course/class schedules and record all course descriptions on SES. Record all room assignments on outlook and manage adhoc room bookings.
- Performs general office duties, as needed
- Supports the Student Records department by performing all other duties as assigned to support the operational needs.

**Minimum Qualifications**:

- HS Diploma or equivalent
- 5 years’ experience in handling administrative tasks, earlier work experience in Higher Education.
- Strong interpersonal communication skills (oral and written) and Self-starter
- Solid analytical, technical, and problem-solving skills.
- Strong focus on flexibility, ability to quickly adapt to unique challenges and respond appropriately.
- Ability to manage multiple projects simultaneously either independently or within a team.
- Excellent organizational skills.

- Strong time and project management skills
- Ability to support a variety of recordkeeping requirements consistently and accurately
- Evidence of commitment & ability to supply consistent and high-quality customer service
- Ability to use a variety of computer programs and databases
- Strong written and verbal communication skills
- Strong team player who is collaborative, empathetic, accountable, committed, flexible and with a positive attitude
- Proficient in Microsoft Excel, Outlook, Word, PowerPoint, and internet browsers.

**Preferred Qualifications/Competencies**:

- Bachelor’s degree with 8 years’ administrative work experience in HigherED
- Earlier work experience with PeopleSoft, Softdocs, Parchment, Smartsheet
- Ability to effectively work on projects with detailed information
