GU-Q is seeking an Academic Recorder who will play a pivotal role in maintaining accurate and organized records of students’ academic progress, ensuring compliance with university policies and procedures.

**Key Accountabilities**:

- Maintain a secure, complete, and accurate record of students’ academic work, including managing student degree audits, posting transfer credit, providing certifications on request.
- Assist with preparation of class and exam schedules each semester.
- Manage course inventory and all course-related data in appropriate university systems (e.g. Banner)
- Assist deans, faculty, and students throughout the course registration process and direct students to appropriate dean with their curricular concerns.

**Key Activities**:

- Following the approval of the advising deans, record course substitutions, waivers and exceptions, process termination of matriculation forms, post transfer credit from other institutions, etc.
- Prepare and proof diploma orders.
- Store and preserve academic records, including digitizing of archived records.
- Produce, validate, and mail official transcripts and letters of certification as requested by students and graduates.
- Review and purge student files upon graduation according to guidelines provided by the University Registrar.
- Assist with maintaining the course schedule in appropriate systems (e.g. CourseLeaf and Banner).
- Maintain all classrooms, both in terms of scheduling and upkeep (in collaboration with Facilities and IT teams).
- Assign classrooms in appropriate university systems and enter all course information into Banner including pre-requisites associated with the courses according to the approved exam schedule.
- Ensure accuracy of all course details including but not limited to: meeting times and location, instructor information, the minimum and maximum number of students permitted in a course, the correct number of credits a course is worth, and the course grade type.
- Enroll cross-registration students from other Education City campuses and facilitate their access to university resources.
- Process cross-registration grades.
- Other duties as assigned.

**Requirements**:

- Bachelor degree preferred.
- 3+ years of general administrative experience, preferably in education.
- Knowledge of record keeping policies and procedures.
- Ability to work with Microsoft Office suite (Word, Excel, PowerPoint, etc.)
- Strong organizational and time-management skills.
- Excellent attention to detail and accuracy.
- Ability to take initiative and to handle confidential and sensitive information.
- Experience with student information management systems preferred.
- Knowledge of FERPA is preferred but not required.
- Familiarity with the GU-Q’s curriculum is an asset.
