Oryx real estate is a growing real estate agency specializing in residential rentals. We are seeking a highly organized and motivated **Real Estate Office Administrator & Leasing Support** to join our team. This role combines administrative support with leasing assistance, ensuring smooth operations in the office and supporting our team to effectively manage rental properties.
The **Real Estate Office Administrator & Leasing officer**will be responsible for handling various administrative tasks and assisting with the leasing process for rental properties. This includes managing client inquiries, assisting with tenant onboarding, coordinating property showings, and ensuring that all documentation and administrative tasks are completed in a timely and accurate manner.
**Key Responsibilities**:
- **Administrative Support**:
- Schedule property showings and meetings for prospective tenants.
- Maintained tenant and landlord files, ensuring all documents are up-to-date and organized.
- Manage incoming and outgoing mail, ensuring timely delivery of important documents and packages.
- Maintain office organization and supplies, ensuring the office runs smoothly on a day-to-day basis.
- Assist with general office duties, such as answering inquiries, preparing reports, and managing office schedules.
- **Leasing & Property Management Support**:
- Coordinate and schedule property showings, open houses, and inspections.
- Assist prospective tenants with rental inquiries, providing property details and information about availability.
- Prepare and review lease agreements, ensuring all terms and conditions are accurate and complete.
- Assist in rent collection, ensuring that payments are made on time and recorded correctly.
- Follow up with prospective tenants, providing them with leasing information and updates.
- Assist in screening tenants by conducting background checks and reference checks.
- Ensure compliance with fair housing laws and all local rental regulations.
- Provide ongoing support to tenants, addressing any inquiries or issues they may have during their lease term.
- Help manage property maintenance requests and coordinate vendor services as needed.
- **Customer Service & Communication**:
- Provide excellent customer service to both prospective tenants and current tenants.
- Act as a point of contact for tenant inquiries, including maintenance requests, lease questions, and general property information.
- Ensure timely and clear communication with landlords and tenants to maintain strong relationships.
**Qualifications**:
- Previous experience in office administration or property management, ideally in a real estate or leasing environment.
- Basic knowledge of real estate leasing and rental processes is highly desirable.
- Strong organizational skills with the ability to multitask and prioritize.
- Excellent communication skills, both written and verbal.
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace (Docs, Sheets, etc.).
- Experience with property management software or CRM tools (e.g., Yardi, Rentec Direct, AppFolio, etc.) is a plus.
- Knowledge of local rental laws and fair housing regulations is a plus.
- High attention to detail and ability to maintain accurate records.
- Positive, client-focused attitude with a strong commitment to providing outstanding customer service.
- Ability to work independently and in a team environment.
- Reliable, punctual, and professional work ethic.
Pay: QAR2,500.00 per month
