**About this role** IT correspondent for BROWNFIELD PROJECT team**
- Request and follow-up the needed tool support for project’s team (desk, IT, etc.) before their arrival and when onboarded
- Validate IT related requests for all BROWNFIELD PROJECT Team users & manage access rights to network share drive
- Collate common IT issues for BROWNFIELD PROJECT team for IT entity reporting.
- Attend to all IT requests in the hot line (soft & hardware requests, loan laptops, movement of phones, desktops, etc.).**Administrative activities**:

- Assist project’s team to ensure Services to COMPANY by CONTRACTOR are as per CONTRACT.
- Assist project’s team to manage calendar, appointments and facilitate efficient operations of his office.
- Assist project’s team with visitors enquiries, receive, direct and relay telephone messages.
- Assist project’s team in disseminating information to departmental/all personnel regarding changes to entity documents, policies and procedures (link with CMS and QA team).
- Assist project’s team on his administrative needs (COMPANY related) and all other tasks that may be assigned.
- Verify, issue and follow-up project’s team main administrative documents (passports, visas, IDs, QP pass, certificates).
- Verify, schedule and coordinate appointments, meetings (incl. room booking) and events including travels and missions.
- On project’s team request, attend specific meetings and issue associated minutes, ensure its signature, its distribution and its record under EDMS (PRODOM).
- Support BROWNFIELD PROJECT DCC team for CONTRACTOR project documentation management through COMPANY EDMS.
- Manage, report and issue all the offshore TRF (Travel Request Form) related to project’s team, EPCIC included.
- Coordinate and arrange for BROWNFIELD PROJECT team missions abroad.
- Ensure project’s team comply with administrative requirements for offshore travels & missions.
- Assist in organizing, planning and preparation of workshops for BROWNFIELD PROJECT project.
- Record in-coming correspondences, allocate reference and review correspondence before submission for final signature.
- Record any EPCIC correspondence and ensure distribution and follow up.
- Assist to ensure guests are properly managed upon arrival and during their stay.
- Report new comers to HSE department for HSE induction and ensure / follow-up their PPE supply by HSE dep.
- Verify and raise requests to General Services / EPCIC (offices movements, works requests, office condiments &consumables).
- Create PRs, JPCs and Work Orders. Verify, issue and follow-up Personnel On Board for E&C entity.
- Report to Brownfield team regularly with weekly report and when decisions impacting E&C activities must be taken

**What you need to bring**
- Chartered Secretary & Administrator. Strong administrative background with a minimum of 10 years experience.
- Having worked with international company is preferable. Proficient in Ms Word, Excel, PowerPoint and Outlook.
- Knowledge in PRODOM (EDMS) recommended. Pleasant personality, good interpersonal and communication skills.
- Fluent in English
