Administration & Logistics Officer

**The Administration & Logistics Officer will be responsible for providing efficient support and act as the point of contact for staff or visitors in managing their queries, providing support and ensure success of administrative, procurement and logistic activities, while providing efficient utilization of resources in accordance with applicable standards. Main duties also include managing office stock, preparing regular reports (e.g. expenses and office budgets) and organizing company records.**
RESPONSIBILITIES:
- Organize and schedule meetings, appointments, special functions, in-house/external and social events.
- Prepare correspondence, letters, faxes and requisition forms.
- Monitors and distributes incoming and outgoing mail and fax; receives packages from couriers (DHL, FedEx, UPS, etc.) and give to the right recipient.
- Arrange, coordinate and facilitate flight booking, accommodations, car, hotel and restaurant reservations; overseeing admin expense and budgets.
- Coordinate office and maintenance issues for general repair (air conditioning, security, office equipment, office cleaning, painting, etc.).
- Maintain office supplies inventory, including toner for office equipment (printers, fax, photocopier) as well as pantry supplies, and research new deals and suppliers.
- Maintain and update office company database, policies and procedures (as needed).
- Assist in the preparation and distribution of documents such as RFQ and Tenders.
- Assist in the preparation, analysis and coordination of the administrative aspects of the tendering process; collates and ensure proper documentation of tender document.
- Ensure all aspects of logistics related to procurement, and shipping are working together to deliver the items/products on a timely basis..
- Responsible for preparing and delivery of orders from Talabat, Carriage and Rafeeq.
- Supports and assist with all stage of the project activities, follow-up, coordination, obtain gate pass, etc.
- Organize a filing system for important and confidential company documents.
- Prepare reports and presentations with statistical data, as assigned.
