**Purpose**
Support Qatar Senior Manager to provide administrative support to deliver projects on time, within specified cost and schedule. Liaise with global cross functional teams and provide required coordination support to complete projects as planned. Work under limited supervision. Liaise with in country Coordinator and local agent to support project as required.
**Functions**
ESSENTIAL
- Coordinate among all functional teams and shared services to ensure project deliverables are met
- Support Senior Manager in planning, control and implementation of Qatar Gas project and any additional assigned projects as and when required
- Maintain all documentation relevant to project (SoW documents, change requests, schedules, risk register etc.)
- Manage and update project rota and project forecasting tool
- Prepare and maintain documents like project progress reports, invoices, budget, timesheets, project team deputation records, Project KPI’s etc.
- Manage and maintain all filing with the project Sharepoint system
- Create and manage Sharepoint action register (Kanban board)
- Manage and update recruitment tracker
- Focal point for all new hires and existing employees
- Able to understand project specific contractual terms and conditions
- Manage client ITP (Instruction to Proceed), review and verify match with contract specific rates and yearly uplifts
- Work closely with billing team collating project timesheets to facilitate timely invoicing
- Work with PIMA team for future roll out of ‘Quote to Cash’ automated billing
- Working with HR and HSE team, create and manage new hire onboarding process in line with company procedures
- Work on arrangements, clearances, project team mobilization/demobilization, travel related tasks
- Gain understanding of local Qatar employment law and residency process and requirements
- Communicate regularly with project employees
- Perform various tasks assigned on projects or related to operations
- Conduct regular project control meetings
- Maintaining regular and effective communications with clients to develop client / contractor relationships
NON-ESSENTIAL
- Assist with any other duties as and when required
- Undertake specific projects as instructed by management
- Demonstrates high level of initiative to accomplish individual objectives assigned as well as team goals.
- Comply to organizational HR policies and procedures.
**Safety**
Ensure that the Safety policies and procedures are understood and adhered to so far as is reasonably practicable in order to ensure a safe working environment.
**Other**
Carry out work in accordance with the Company Health, Safety, Environmental and Quality Systems.
Perform the assigned tasks with due diligence regarding the Integrated Management Systems on the Company.
Eliminate waste of whatever form, to suggest the use of more environmentally friendly substances and practices and contribute to the continuous improvement of the environment.
**Supervisory Responsibilities**
- This position has NO direct supervisory responsibilities.
**Reporting Relationship**
- Reports to Qatar Senior Manager or equivalent Functional Manager
**Qualifications**
REQUIRED
- Masters or Bachelors Degree preferred in engineering or similar
- Previous experience in project requirements and related work
- Knowledge of oil and gas service company
- Willingness to travel to visit country location as required by the project to familiarise and meet with project team
DESIRED
- Project Management qualification / certification - or working towards a relevant qualification
**Knowledge, Skills, Abilities, and Other Characteristics**
- Intermediate or Expert level knowledge on Project management or scheduling software (e.g. Primavera, MS Project etc.)
- Working knowledge of Microsoft Office Suite, with intermediate to advanced Excel skills, Peoplesoft ERP, etc
- Relevant experience of effectively supporting project teams
- Ability to take direction from in country team
- Ability to ensure that others involved in a project or effort are kept informed about developments and plans
- Excellent verbal & written communication skills
- Ability to communicate / work with multi-cultural team of technicians and engineers for projects
- Effective leadership, mentoring and Team management skills
- Ability to relay important information from management to employees and others as appropriate
