At MiLaha, we are seeking a highly skilled and experienced Ship Agency Operations Supervisor to join our team. As a key member of our operations team, you will be responsible for ensuring the smooth and efficient operation of our vessel agency services.
Key Responsibilities:- Represent MiLaha at various monthly meetings with Port Authorities to ensure effective communication and coordination.
- Liaise with Port and Customs authorities to obtain vessel suitability approvals, Port clearances, and ensure compliance with operation requirements.
- Prepare and forward Proforma Disbursement Account (PDA) details to Shipping Accounts for principals.
- Coordinate with Finance to ensure timely receipt of port charges and fund disbursements, and approve berthing schedules accordingly.
- Negotiate and communicate with charters and principals regarding Port charges, Agency charges, and vessel agency appointments.
- Negotiate with Port operators on behalf of charters and principals to clarify and fix various charges and issues related to cargo operations.
- Plan, notify, and coordinate with Liners, Principals, and Masters for vessel pre-calling arrangements and smooth vessel operations.
- Attend RORO Lines safety awareness meetings and deliver MiLaha presentations.
- Implement, conduct, and provide feedback on safety regulations instructed by the Agency RORO Lines for cargo operations.
- Coordinate with principals to arrange necessary requirements such as crew change, medical assistance, shore leave, and gate passes through Crew Handling section.
- Coordinate with Terminal to arrange pilots for smooth berthing and sailing out of vessels on time.
- Responsible for operation planning and monitoring to prevent cargo claims and vessel damage claims.
- Process all documentation with claims department as required.
- Review stowage plans made by vessel planners with assigned Port Captains and/or Masters with harbour authorities and Sr. Cargo controllers.
- Responsible for preparing vessel forecast reports and sailing schedules.
- Arrange after-sail reports to Principals and follow up on final disbursement payments.
- Maintain relationships with carrier vendors and resolve customer issues.
- Provide recommendations on new subordinate hires and ensure availability of resources required to perform assigned tasks.
- Supervise subordinate staff, assign work activities, monitor performance, and review results.
- Act as a coach to subordinates, identify training and career development needs, recommend training courses, and follow up on personnel records.
