**Job Summary**
Provides high-level administrative and secretarial support to the General Manager to ensure efficient operation of the office. The role requires strong organizational skills, confidentiality, and the ability to handle communications, documentation, and coordination on behalf of the GM.
Key Responsibilities
- Manage the General Manager’s daily schedule, meetings, and appointments
- Prepare correspondence, reports, memos, and presentations
- Organize and maintain filing systems (electronic and hard copy)
- Handle incoming and outgoing communications on behalf of the GM
- Act as a liaison between the General Manager and departments, clients, and external stakeholders
- Coordinate internal meetings, prepare agendas, and record minutes
- Follow up on action items and deadlines assigned by the GM
- Assist in preparing official letters and company documents
- Maintain confidential records, contracts, and important company documents
- Ensure proper documentation control and archiving
- Prepare reports and summaries as requested by the GM
- Arrange travel bookings, visas, hotel reservations, and itineraries
- Prepare travel documents and expense reports
- Monitor office supplies for the GM’s office
- Support company events, meetings, and executive visits
- Assist with special projects assigned by the General Manager
**Qualifications**
- Diploma or Bachelor’s degree in Business Administration or related field
- Proven experience as an Executive Secretary / Personal Assistant / Administrative Officer
- Proficient in MS Office (Word, Excel, PowerPoint, Outlook)
- Excellent written and verbal communication skills
- Strong organizational and time-management skills
- Ability to handle confidential information with discretion
