Position Overview
The Real Estate Administrative & Marketing Officer is responsible for providing administrative support to the sales and leasing team, managing documentation, coordinating property listings, and executing marketing activities for the company's domestic (local) properties. The role requires strong organizational, communication, and marketing skills to ensure smooth operations and enhanced visibility of the company's property portfolio.
Key Responsibilities1. Administrative Support
- Handle all administrative duties related to real estate operations, including preparing contracts, forms, tenancy agreements, and client files.
- Maintain updated records for all listed properties, including availability, pricing, and documentation.
- Coordinate property keys, access arrangements, and schedules for property viewings.
- Follow up with clients and agents regarding pending documentation and property requirements.
- Maintain organized filing systems (digital and physical) to ensure easy retrieval of documents.
2. Property Marketing & Promotion
- Create, manage, and publish property listings for domestic rental properties across all marketing platforms (Instagram, WhatsApp Business, Property Finder, social media, etc.).
- Write attractive and accurate descriptions for domestic properties, including features, location highlights, and pricing.
- Capture or coordinate photography and videography for properties to ensure high-quality listings.
- Design simple marketing materials such as flyers, social media posts, and promotional content for available properties.
- Coordinate with the marketing team to ensure brand consistency in all property marketing materials.
3. Client Communication & Coordination
- Respond to inquiries from potential tenants, schedule viewings, and provide initial information about available domestic properties.
- Support the leasing team by screening leads, coordinating appointments, and tracking client interest.
- Serve as a point of contact for landlords to collect property details, required documents, and updates.
4. Operational & Support Tasks
- Track rent collection schedules, contract renewal dates, and unit availability.
- Prepare weekly reports on property performance: inquiries, viewings, leads, and conversions.
- Support the property management team with administrative tasks related to maintenance requests and tenancy follow-ups.
- Assist the sales & leasing team in daily operational matters when required.
Skills & Qualifications
- Previous experience in real estate administration or property marketing (preferred).
- Strong organizational and multitasking skills.
- Excellent communication skills (written and verbal).
- Ability to create appealing and professional property marketing content.
- Proficiency in Microsoft Office, WhatsApp Business, basic design tools (Canva), and social media platforms.
- High level of professionalism, accuracy, confidentiality, and attention to detail.
- Fluency in English required; Arabic is an asset.
