2. JOB PURPOSE:

Plan, coordinate and evaluate the Accounts Payable operations in a manner consistent with the objectives of the Company to meet the current and future financial requirements. Ensure all the supplier invoices and employee's reimbursement/claims are accurately and timely processed and compliance with the PO & contracts. Perform 3-way match and ensure the business rationale of the transactions. Ensure property, plant, and equipment (fixed assets) and intangible assets are accurately and timely recorded in the system and the fixed assets register (including intangible assets) is always kept up-to date.

4. KEY DUTIES/ RESPONSIBILITIES:

Strategic:

  • Contribute towards an efficient usage of Company's financial resources; ensure that invoices and employees claims are processed on timely basis, fixed assets register (including intangible assets) are properly maintained and support the other team members to achieve the department objective.
  • Contribute to the identification of opportunities for continuous improvement of systems, processes and practices considering 'international leading practice', improvement of business processes, cost reduction and productivity improvement.

Operational:

  • Adherence to quality, health & Safety, Information security and business continuity policies.
  • Ensure all the supplier invoices and employee's reimbursement/claims are accurately and timely processed and in compliance with the PO & contracts.
  • Perform 3-way match while processing the vendor invoices for goods and/or services. Coordinate with the relevant User department and procurement department in case of any discrepancy and mismatch.
  • Collect and log the invoices and employees claim documentation and ensure that data is accurate and up to date. Ensure safe custody of the invoices and employees claim documentation.
  • Maintain accounts payable entries in relevant accounting systems to ensure they are accurate and up to date.
  • Prepare monthly, quarterly and annual accruals and provision related to the goods and/or services received and employee's benefits accurately and timely.
  • Perform periodic reconciliation with the supplier accounts.
  • Assist in preparation of accounts payable budgets/forecasts based on the invoices received and payment data in relevant accounting/SAP systems.
  • Participate in the month end closing for accruals and payable related transactions, fixed assets and intangible assets and provides analysis, schedules, reconciliation and breakdowns as assigned.
  • Attend to the queries raised by the suppliers pertaining to payable amounts.
  • Prepare accounts payable, vendor and employees related accruals and fixed assets and intangible assets reports.
  • Facilitate auditors (internal and external) with requested information necessary for audit verification.
  • Ensure that the fixed assets (including intangible assets) are maintained accurately and completely. Run the monthly, quarterly and annual depreciation/amortization and reconcile the same with the GL and related schedules.
  • Provide fixed assets IDs to the User department and ensure all the assets are tagged by the relevant department on timely basis.
  • Perform any other ad-hoc duties relevant to the role as assigned by the direct supervisor and/or department director as per business requirements.
  • Follow all relevant departmental policies, processes, standard operating procedures and instructions so that work is carried out in a controlled and consistent manner.

6. Key Performance indicators (KPIs)

  • Days taken for processing of vendor invoices and employees claims
  • Compliance of vendor invoices with PO, contracts and other related documents
  • % of variance between accruals and invoices/claims received

  • 100% of Fixed assets and intangible are accurately recorded in the books and are tagged timely.

  • Timely submission of the required analysis, schedules, reconciliation etc.

7. PROFILE: QUALIFICATIONS, EXPERIENCE & SKILLS:

  • Bachelor's Degree in Finance, Accounts or any related discipline is preferred.
  • Professional Certification from relevant institutions such as ACCA, CIMA and CFA will be an added advantage.
  • Minimum 5-7 years of relevant experience is preferred.
  • Good communication skills in English and Arabic (preferred).
  • Good knowledge of MS office tools and ERP software
