We are seeking a highly organized and detail-oriented
Project Coordinator / Administrative Officer
to support our operations in
Doha, Qatar
. The ideal candidate will be responsible for coordinating meetings, tracking deliverables, maintaining documentation, and ensuring smooth execution of administrative and project-related tasks.

Key Responsibilities:

  • Coordinate
    meetings, calendars, and site visits
    for project teams and management.
  • Track
    deliverables, timelines, and follow up on due actions
    to ensure progress and accountability.
  • Maintain
    document repositories
    with proper version control and accessibility.
  • Prepare
    Minutes of Meetings (MOMs), trackers, and weekly progress summaries
    .
  • Assist with
    Purchase Requisitions (PRs), Purchase Orders (POs)
    , and
    vendor correspondence
    .
  • Support
    logistics and coordination
    for internal and external
    events, training sessions, and workshops
    .
  • Collect
    timesheets
    , verify
    billing support
    , and coordinate with the finance team for accuracy.
  • Ensure
    adherence to filing systems, documentation standards, and QA checklists
    .

Requirements:

  • Bachelor's degree in Business Administration, Management, or a related field.
  • Minimum
    3–5 years of experience
    in a similar administrative or project coordination role.
  • Strong proficiency in
    MS Office Suite (Excel, Word, Outlook, PowerPoint)
    .
  • Excellent
    communication and organizational skills
    with attention to detail.
  • Ability to handle multiple priorities and meet deadlines in a dynamic environment.
  • Prior experience in
    project-based environments
    or
    engineering/consulting firms
    will be an advantage.
