Job Title: Facilities Coordination Officer
This role is part of the Facilities Management department at Qatar Foundation. The Facilities Coordination Officer will be responsible for coordinating and managing various facilities-related tasks, including work requests, maintenance activities, and safety procedures.
Key Responsibilities
Process incoming work requests through to completion, including receiving, reviewing, approval, estimating, and closing for functioning and maintenance of equipment, systems, buildings, or facilities. Allocate work to subordinates and contractors, provide needed instructions, monitor work progress, and ensure work conforms to established work standards and statutory requirements. Provide regular feedback to the Maintenance Engineer and generate required reports and paperwork, such as repairs reports, daily and monthly activity reports, equipment failure reports, incidents, and accidents reports. Troubleshoot and analyze technical failures and recommend measures to mitigate recurring problems. Maintain records and files of work performed, in progress, and completed. Collaborate with Facility Engineers and contractors on the planning and commissioning of new projects. Assist the Maintenance Engineer in developing and implementing operational/functional and preventive maintenance programs and procedures to ensure operational efficiency. Carry out scheduled routine and preventive maintenance, participate in installation activities, provide technical advice to subordinates, ensure the proper use of tools and test equipment, and help carry out function tests on repairs prior to reinstating systems. Help with commissioning of new systems, carry out functionality tests, prepare the snag lists, attend to snag list for the successful commissioning and smooth handover of new systems/facilities. Inspect contractors’ work, carry out related on-site work, resolve any problems, and ensure the use of safe practices. Conduct facility inspection, follow-up, and maintain records. Help prepare an annual inventory of spare parts, consumables, special tools, and test equipment. Review consumption, discuss interchangeability with the supervisor, initiate purchase requisitions for new materials, and assist with materials receipt and inspection. Process permits to work through to completion, authorize safety overrides, and enforce good housekeeping practices. Discuss all operational malfunctions and problems with the Facility Engineer and Maintenance Engineer. Suggest possible solutions for recurring problems. Take a high level of responsibility for own safety and the safety of work associates within the building, ensuring fire and safety procedures are adhered to all items and that appropriate safety equipment is worn. Must be aware of all alarms, emergency, and evacuation procedures. Act as part of the emergency control room team in case of evacuations/emergency situations and take appropriate action in accordance with fire and safety rules and regulations. Review and supervise various operational parameters such as pressure, temperature, flow, and level to ensure they are within the operating limits, take corrective action, and inform facilities engineers of abnormalities to ensure continuity in operations and meet the requirements of the building. Help develop Plant Changes for modifications or improvements to existing systems and prepare drawings and technical specifications. Update on-site information and drawings and record as-built drawings. Ensure that activities conform to ISO 9001, Quality Management system, ISO 14001, Environmental Management System, and OHSAS 18001 Occupational Health and Safety Management System. Keep up to date in the respective field of engineering. Other reasonable tasks as assigned by Supervisors. Experience Required 2 – 5 years of relevant full-time work experience. Field experience in construction, facilities management, or from the oil & gas industry. Skills Required Expertise in at least one technical discipline. Excellent understanding of safety precautions and emergency procedures. Ability to read and understand technical manuals, engineering drawings, and document processes. Exposure to quality, environment, and occupational safety management systems. Excellent writing skills with the ability to draft and edit a variety of written reports and communications and to articulate ideas clearly and concisely; Arabic proficiency is an advantage. Proficiency in MS Office applications.
