Job Purpose

  • To effectively manage, administer and develop the Academy's procurement activities, such as requisitions, inventory management, purchasing and payments, to meet the needs of the Academy.
  • To continuously assess and improve procurement systems and procedures for optimum productivity.

Main Duties & Responsibilities:

  • Manage and control the process of procurements for the whole Academy.
  • Obtain quotations from several reputable vendors, analyse their quotations and report and recommendation to the Admin Officer.
  • Ensure effective and efficient purchasing system is in place.
  • To receive and consolidate staff requests for teaching & nonteaching resources.
  • To research and source highquality products and services at optimum costs and prepare the purchase order as required.
  • Familiar with the needs of Ministry of Education and how they deal with distribution of books.
  • To ensure efficient and proactive communication of orders, delivers and related matters to staff.
  • To coordinate with Finance Department to monitor accuracy and punctuality of payment.
  • Control and maintain school assets and facilities and to establish, conduct and maintain annual inventory check of all School
  • To maintain an optimum level of inventory of all supplies and to anticipate regular requirements to ensure continuity of supplies/service with mínimal wastage.
  • Submitting status reports to management.
  • Negotiating with external vendors to secure advantageous terms.
  • Ensure to find and negotiate costeffective deals and suppliers.
  • Devising and using productive sourcing strategies
  • Discover profitable suppliers and initiate business and organization partnerships.
  • Review and approve the ordering of necessary goods and services.
  • Receiving all the invoices, checking delivery, signing the invoices, copying, filing and submitting them to the accounting department.
  • Track and report key functional metrics to reduce expenses and improve effectiveness.
  • Liaison with the accounts department budgets assigned and gives advise on how to use it wisely.
  • Keeps track on the budget for each department and inform SMT on the deductions done.
  • Raises LPOs for all quotations and all the work done in School, orders of books, furniture, and all.
  • Collaborate with key persons to ensure clarity of the specifications and expectations of the company
  • Foresee alterations in the comparative negotiating ability of suppliers and clientsSupports in School events through different duties assigned to her by the line manager.
  • Collaborates with all departments to get the best resources for their events such as Banners, Certificates, pins
  • Collaborates with departments to get students gifts and other needed resources for specific event. ( such as Quraan ceremony.)Working long hours and on Friday and Saturdays if needed specially during CES Shipment class resources and distribution of books. (Working as and when due to the demands of the post).
