Under thesupervision of the Lead, Accounts:

Invoiceprocessing:

  • Comply to Purchase to Payprocess for tasks related to APactivities.
  • Verification, processing and timelysettlement of incoming invoices and expenseclaims;
  • Review of received invoices foraccuracy and supporting documents
  • Performpreliminary checks on invoices such as currency, dates, externalcommitment doc (PO, LPO, Call Off).
  • Scanning ofinvoices and loading in ERP system(SAP-PALM)
  • Initiating validation workflow(depending on doc type : ex invoice, expenseclaim...)
  • Processing booking ofinvoices : last review of the invoice before posting in thesystem
  • Ensuring that invoices are processedpromptly to ensure payment within agreed supplier paymentterms.
  • Ensuring credit notes - when applicable-are received from suppliers promptly.
  • Ensurenon-compliant invoices are rejected and information provided tovendor in order to take correctiveactions.
  • Monitoring and chase up rejectedinvoices for re-submission.
  • Prepare debitbalances / aged creditors and propose corrective action to teamleader in order to solve pendingtransactions.
  • Taking phone calls from suppliersand deal with queries as they arise, ensuring satisfactoryconclusion for the supplier.
  • Daily and timelyfollow-up and clearing of all issues received through accountspayable generic email.
  • Setting-up andmaintaining supplier accounts, in accordance with companyprocedures including reconciling supplier statements and resolvingdifferences.
  • Liaising directly with supervisorand Lead Accounts Payable, departments and budget holders toresolve any issues.
  • Ensure efficientcommunication with Cost Control, Contracts and Procurement andTechnical department on relevant issues
  • Prepareinternal invoices when required
