About the role

This role provides support for the smooth functioning of the QR Shafallah department on a daily basis. Performs secretarial duties, handling confidential and sensitive information. Represents the department through the management of correspondence, telephone, and personal contacts. Undertakes projects as directed by the Line Manager to support Departmental/Corporate initiatives.

Key accountabilities include:

  • Performs secretarial and administrative duties to maintain department functions smoothly daily. Tactfully handles inquiries and refers to appropriate personnel/departments.
  • Manages, coordinates, and maintains calendar of appointments, communication records to meet department requirements.
  • Provides business documentation support including report writing, presentation creation, and spreadsheet preparation.
  • Independently manages tasks and assigned projects while ensuring data integrity and respecting deadlines.
  • Communicates internally and externally to assist administrative support and effective service.
  • Tracks department staff travel papers.
  • Establishes a confidential filing system for department correspondence.
  • Prepares and distributes correspondence, replies to emails and calls.
  • Arranges office equipment for staff.
  • Accesses and maintains records for Department Assets.
  • Performs other duties as assigned for the effective functioning of the work unit.

Qualifications

About you

The successful candidate will have:

  • Bachelor's Degree or Equivalent with a minimum of 2 years of related experience or Diploma or Equivalent with a minimum of 3 years of related experience.
  • Ability to work in a cross-cultural environment.
  • Excellent written and verbal communication skills.
  • Proficiency in Microsoft Word, Excel, and PowerPoint.
  • Maintains confidentiality and self-discipline.
  • Motivated, responsible, and focused attitude.
  • Highly organized with strong interpersonal and teamwork skills.
  • High level of sensitivity and professionalism.
  • Self-starter with proven problem-solving abilities.
  • Works well under pressure and to defined timescales.
