A successful Executive Assistant & Office Manager possesses structure, attention to detail, quality focus, high energy and flexibility to a high-paced deadline driven organization. In this role you will need to work well in a team environment, be able to represent the manager/group with professional courtesy and acumen, and deliver flawless work output. Your daily routine also includes interaction with various executive level internal clients across the lines of businesses. You will need to adapt procedures, processes and techniques to complete assignments in line with the department's activities and goals. The Executive Assistant & Office Manager will provide all round business support to the office team. In addition they will also organize and supervise all of the administrative, IT, Finance and Business Management activities that facilitate the smooth running of the Qatar office. • *Key Responsibilities** - Maintaining complex and detailed calendars - Arranging and coordinating complicated domestic and international travel - Events Management; organizing all public & private events and preparing media coverage if needed. - Office and Business management. - Purchasing and vendors management, sourcing and maintaining vendor details - Expenses and Finance management. - Compliance inquiries management. - Organize itineraries of senior management. - Deliver presentations about the work of the office to senior management /other sections of the organization - Assist the Business Management team in the preparation of senior management visits to Qatar - Local Business technology Coordinator. - Regulatory reports management. • *Qualifications** - At least five years of administrative experience, ideally supporting at the Managing Director level (or equivalent) or above - Fluent in English (both spoken and written), French will be an asset - Strong proficiency in Microsoft Office - Advanced ability to organize - Tact and good judgment in confidential situations, and proven experience interacting with senior management - Strong interpersonal, written, and oral communication skills - Excellent telephone etiquette and ability to manage competing priorities i.e. calendar management - College degree is a plus J.P.
