**Overview**:
The Administration Supervisor is responsible for overseeing the administrative functions of the clinic, ensuring smooth operations between reception, nurses, and doctors. This position requires strong leadership, excellent communication skills, and the ability to maintain efficient workflows while fostering a positive, collaborative environment. The Administration Supervisor will supervise and train reception staff, manage staffing needs, and facilitate communication between the receptionists, nurses, and doctors to ensure a seamless patient experience.
**Key Responsibilities**:
- Supervise the daily operations of the clinic's reception area, ensuring efficient patient check-in/check-out processes, appointment scheduling, and patient inquiries.
- Develop and implement training programs for new and existing reception staff, ensuring they understand clinic procedures, patient handling protocols, and the use of the clinic system.
- Create and manage receptionist work schedules to ensure adequate coverage during clinic hours.
- Monitor and manage the clinic's social media platforms for patient interactions, ensuring timely responses to inquiries and addressing any concerns.
- Ensure effective communication and workflow coordination between the reception team, nursing staff, and doctors.
- Monitor patient flow and assist with managing appointment schedules to ensure efficient use of resources and minimize patient wait times.
- Address patient concerns or complaints regarding reception services or administrative matters.
- Work with the Clinic Manager/Operations Manager to develop and implement operational improvements to enhance efficiency, patient care, and staff satisfaction.
**Qualifications**:
- Education**: Bachelor’s degree in healthcare administration, business, or related field.
**- Experience**: Minimum 3-5 years of experience in a medical office or supervisory position
- **Skills**:
- Strong organizational and multitasking abilities.
- Excellent interpersonal and communication skills.
- Proficient in electronic health record (EHR) systems.
- Ability to work under pressure and manage competing priorities.
- Demonstrated leadership abilities, with experience in supervising, training, and motivating staff to achieve departmental goals.
- Ability to manage team dynamics and resolve conflicts effectively.
