Job: Temporary Administrative Assistant-IRB
Work Location: Qatar
Organization: Research Division
Work Days: Sunday-Thursday
**Position Summary**:
This position is responsible for the administrative, and logistics functions within the IRB office and assists with specific tasks related to the core operations of the department.
**Responsibilities**:
- Coordinates the availability of members, updates meeting schedules, gathers, and updates meeting documents sends relevant communication and arranges all logistics for the IRB meetings.
- Communicates and coordinates with researchers and the IRB office for timely submissions to achieve tasks as per the scheduled deadlines.
- Assists in the administrative review of submissions as assigned.
- Assists in drafting IRB determination letters and compiling reviews for submissions.
- Assists with tasks associated with releasing IRB decisions to researchers such as uploading determinations to the IRB system, preparing IRB-approved documents for release, etc.
- Assists with tracking records of training and credentials for researchers to ensure records are up to date.
- Assists with creating trackers or spreadsheets with guidance as per the requirement.
- Assists with responding to basic queries on using the IRB online system for submissions.
- Arranges for IRB related meetings and other administrative requests for the IRB office.
- Performs general administrative duties such as photocopying, filing, and electronic processing.
- Performs other duties as assigned.
**Education**:
- Bachelor's Degree
**Experience**:
Bachelor’s Degree in any discipline with 4-5 years of relevant experience preferably in an academic, healthcare, or research environment.
**Knowledge, Skills and Abilities**:
- Fluent in English and Arabic (preferred).
- Ability to prioritize and work in a fast-paced and result-oriented environment.
- Excellent organizational skills and attention to detail.
- Demonstrated ability in handling confidential and sensitive information.
- Proficient in MS Office suite of products.

**Working Conditions/Physical Demands**:
Work typically takes place in a normal office environment and requires: standing, walking, sitting, operating a PC and other office equipment.
Willingness to extend or vary working hours when required.
