Project Coordinator/document Controller

**The Project Coordinator cum Document Controller** will play a vital role in ensuring the seamless execution of factory projects and efficient management of project-related documentation. This role involves coordinating project activities, tracking progress, and ensuring that all documentation is accurate, up-to-date, and in compliance with company and industry standards.
**Key Responsibilities**:
**Project Coordination**:
- Coordinate and monitor project activities from initiation to completion, ensuring alignment with company goals and timelines.
- Support the factory manager and site team in planning and scheduling tasks, assigning responsibilities, and setting deadlines.
- Liaise with cross-functional teams to facilitate collaboration and efficient project delivery.
- Monitor project progress, identify risks, and escalate concerns to the relevant stakeholders.
- Assist with the preparation of project status reports and ensure the timely distribution of updates.
**Document Control**:
- Manage the creation, organization, and distribution of all factory and project-related documents.
- Maintain accurate records of design changes, technical data, approvals, and other project documentation.
- Implement and maintain efficient document control systems and ensure compliance with quality and regulatory standards.
- Review and verify documentation for accuracy and completeness, including contracts, design plans, and correspondence.
- Ensure secure storage of both physical and electronic documentation, adhering to company confidentiality policies.
- Archive both soft copies and hard copies of all essential project documents to ensure comprehensive records are maintained and easily retrievable when required.
**Compliance & Quality Assurance**:
- Ensure all documentation and project processes comply with organizational and industry standards.
- Facilitate audits by preparing and organizing relevant documentation as needed.
- Identify gaps in processes and suggest improvements to enhance efficiency and compliance.
**Communication & Coordination**:
- Act as a central point of contact for internal and external stakeholders regarding project updates and documentation requirements.
- Foster strong communication between departments, suppliers, and contractors to ensure smooth execution of project timelines.
- Respond promptly to information requests related to projects and documentation.
**Skills**:
- Strong organizational, planning, and multitasking abilities.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Project, etc.) and document control software.
- Familiarity with SAP and ERP or other project management tools is a plus.
- Excellent communication and interpersonal skills.
- Detail-oriented with strong analytical and problem-solving abilities.
**Working Conditions**:
- **Location**: This role is primarily based in the factory, with occasional travel to project sites when needed.
