Job Description

Oil and Gas Job Search Ltd is seeking a highly organized and detail-oriented Project Administrator to join our team in Qatar.

Key Responsibilities:

  1. Provide administrative support to the project team, ensuring seamless day-to-day operations.
  2. Coordinate and expedite the flow of work, initiating follow-up actions as needed.
  3. Maintain up-to-date knowledge of project status, scheduling requirements, and departmental operations/procedures.
  4. Assist with the setup, development, and coordination of site-specific PMP and PIFs.
  5. Establish and maintain hard copy and electronic site file directories.
  6. Manage access to shared project drives and websites, ensuring security and compliance.
  7. Ensure the correct functioning of facilities, office, and business support services.
  8. Perform various clerical, administrative, and general office duties, including transcription, typing, and recording.
  9. Verify that reports and documents adhere to company and project standards and quality.
  10. Manage project-specific forms and instructions.
  11. Coordinate, schedule, and prepare information for meetings and appointments.
  12. Assist field operations with the completion of daily time sheets.
  13. Support the onboarding/orientation of personnel.
  14. Assist with internal and external project audits.
  15. Arrange travel, accommodations, and car rentals as needed.
  16. Prepare letters and memoranda for manager's review.
  17. Gather data and material information for billing purposes.

Qualifications:

Qualifications: Bachelor's Degree preferred.

  1. Knowledge, skills, and experience:
  2. Five years of project/admin experience in the Engineering and Construction industry desirable.
  3. Experience in dealing with Ras Laffan gate passes.
  4. Proficiency with Microsoft Suite programs, including Word, Excel, PowerPoint, and Outlook.
  5. Oracle experience a plus.
  6. Ability to correspond and interact with others in a courteous and professional manner.
  7. Possess good organizational skills.
  8. Self-motivated to learn.
  9. Bilingual a plus.
