Job Overview

Ali Bin Ali seeks an accomplished and detail-oriented individual to assume the role of Office Manager. The selected candidate will provide exceptional support to the Vice President/General Counsel (VP/GC) while overseeing administrative staff within the legal department.

Responsibilities

  1. Ensure seamless calendar management for the VP/GC, incorporating relevant appointments, deadlines, and schedules.
  2. Offer comprehensive support to legal office visitors.
  3. Attend meetings, record minutes, and convey essential information to relevant stakeholders.
  4. Compose official correspondence and documents required by the VP/GC and legal counsels.
  5. Negotiate with external partners for document exchange, follow-ups, and coordination.
  6. Oversee office expenses and develop strategic financial plans.
  7. Serve as the primary point of contact for all legal inquiries and requests.
  8. Address employee concerns regarding office administration.
  9. Collaborate with legal counsel to stay abreast of regulatory updates and maintain compliance.
  10. Ensure accurate record-keeping and maintenance of legal information, cases, and projects.
  11. Assist legal counsels in client interactions.
  12. Conduct in-depth research and gather evidence to support legal counsel.
  13. Disseminate important legal updates to internal teams.
  14. Design and optimize the office layout and manage stationery and equipment procurement.
  15. Plan company events and engage with local and international law firms and service providers.
  16. Coordinate projects across geographical locations.
  17. Monitor and report on legal compliance initiatives and recommend improvements.
  18. Supervise the administrative team and refine operational processes.
  19. Communicate with HR to identify training needs and keep the administrative team informed about new skills.
  20. Develop and execute comprehensive administrative systems.
  21. Identify areas for improvement and offer suggestions to enhance contract management.
  22. Compile and analyze data to inform decision-making.
  23. Perform additional tasks as assigned by the VP/GC.

Essential Qualifications

  • Bachelor's degree in a relevant field such as Law, Business, Sociology, HR, or Political Science.
  • At least 5 years of experience in a similar role.
  • Familiarity with administrative responsibilities, systems, and procedures.
  • Understanding of Qatar laws, regulations, and court procedures.
  • Proficiency in English and Arabic, with French being an asset.
  • Exceptional written and verbal communication skills.
  • Advanced proficiency in Microsoft Office.
  • Proven time management and multitasking abilities.
  • Strong organizational and planning skills in a dynamic environment.
  • Ability to think creatively and propose innovative solutions.
  • Confident and charismatic presence at all times.
