Job Overview
Ali Bin Ali seeks an accomplished and detail-oriented individual to assume the role of Office Manager. The selected candidate will provide exceptional support to the Vice President/General Counsel (VP/GC) while overseeing administrative staff within the legal department.
Responsibilities
- Ensure seamless calendar management for the VP/GC, incorporating relevant appointments, deadlines, and schedules.
- Offer comprehensive support to legal office visitors.
- Attend meetings, record minutes, and convey essential information to relevant stakeholders.
- Compose official correspondence and documents required by the VP/GC and legal counsels.
- Negotiate with external partners for document exchange, follow-ups, and coordination.
- Oversee office expenses and develop strategic financial plans.
- Serve as the primary point of contact for all legal inquiries and requests.
- Address employee concerns regarding office administration.
- Collaborate with legal counsel to stay abreast of regulatory updates and maintain compliance.
- Ensure accurate record-keeping and maintenance of legal information, cases, and projects.
- Assist legal counsels in client interactions.
- Conduct in-depth research and gather evidence to support legal counsel.
- Disseminate important legal updates to internal teams.
- Design and optimize the office layout and manage stationery and equipment procurement.
- Plan company events and engage with local and international law firms and service providers.
- Coordinate projects across geographical locations.
- Monitor and report on legal compliance initiatives and recommend improvements.
- Supervise the administrative team and refine operational processes.
- Communicate with HR to identify training needs and keep the administrative team informed about new skills.
- Develop and execute comprehensive administrative systems.
- Identify areas for improvement and offer suggestions to enhance contract management.
- Compile and analyze data to inform decision-making.
- Perform additional tasks as assigned by the VP/GC.
Essential Qualifications
- Bachelor's degree in a relevant field such as Law, Business, Sociology, HR, or Political Science.
- At least 5 years of experience in a similar role.
- Familiarity with administrative responsibilities, systems, and procedures.
- Understanding of Qatar laws, regulations, and court procedures.
- Proficiency in English and Arabic, with French being an asset.
- Exceptional written and verbal communication skills.
- Advanced proficiency in Microsoft Office.
- Proven time management and multitasking abilities.
- Strong organizational and planning skills in a dynamic environment.
- Ability to think creatively and propose innovative solutions.
- Confident and charismatic presence at all times.
