The Project Coordinator plays a crucial role in ensuring the successful execution of projects. Key Responsibilities
  • Coordinate project-related activities, including work permits, invoices, logistics, and documentation for suppliers and contractors.
  • Manage small-scale projects, such as promotional areas and soft personalization.
  • Supervise current projects and coordinate with team members to maintain a smooth workflow.
  • Coordinate project-related paperwork, ensuring all necessary materials are up-to-date, properly filed, and stored.
  • Direct project correspondences, preparing and reviewing project proposals, memos, meeting minutes, and emails.
  • Adhere to the budget by monitoring expenses and implementing cost-saving measures.
  • Support the project team by effectively coordinating between all entities involved in the project portfolio.
  • Liaise with internal and external stakeholders to ensure the activities, resources, and information necessary for successful project progression are captured and reported as required.
  • Review project documents, drawing submissions, and communicate required changes or other comments of note.
  • Develop and track project schedules to monitor milestones and alert the Project Manager and respective stakeholders of any deviation from expected delivery.
  • Ensure timely shipping clearance and delivery of joinery/equipment to avoid demurrage charges and minimize loss.
  • Reconcile invoices and payments, recording them to ensure timely and accurate management in conjunction with the Project Manager and Finance.
  • Attend/represent the project management team at contractor/brand meetings, capturing key information and/or minutes as required.
  • Build and maintain positive relationships with contractors, clients, stakeholders, providing timely information and problem resolution.
  • Coordinate key activities, such as stock delivery and merchandising arrangements with operations prior to the shop opening.
  • Perform other department duties related to their position as directed by the Head of the Department.
About You

The successful candidate will have the following qualifications:

  • High School Qualification/Vocational Qualification/Diploma or Equivalent (Type of Diploma Based on Role) with a minimum of 3 years of job-related experience.
  • Bachelor's Degree or Equivalent with a minimum of 2 years of job-related experience.

Job-specific skills and experience:

  • Experience in project documentation and coordination.
  • Experience in Retail & F&B Shop fitouts project management.
  • Experienced in project documentation and coordination.
  • Hands-on/onsite experience.
  • Documentation management and ability to use project management tools.
