Job Title: Admin and Facilities Executive

Department: Administration / Facilities

Reports To: HR Manager / Operations Manager

Job Summary:
The Admin and Facilities Executive will be responsible for overseeing and managing all administrative functions and facility operations to ensure a smooth, safe, and efficient working environment. This role requires excellent organizational skills, attention to detail, and the ability to manage multiple responsibilities across departments.

Key Responsibilities:
Administrative Duties:

- Manage office supplies, stationery, and inventory to ensure timely replenishment.
- Maintain and update staff records, attendance, and leave data in coordination with HR.
- Coordinate travel arrangements, visas, accommodations, and logistics for staff.
- Assist in organizing internal meetings, training sessions, and company events.
- Maintain records of company assets and manage document control and filing systems.

Facilities Management:

- Oversee the maintenance, cleanliness, and safety of office premises.
- Coordinate with vendors and service providers for office repairs, AMC (Annual Maintenance Contracts), and utility services.
- Monitor and supervise housekeeping and security staff for quality and compliance.
- Ensure proper functioning of office equipment (printers, A/C, lighting, etc.) and report malfunctions promptly.
- Support health and safety compliance procedures including fire drills, audits, and inspections.
- Liaise with building management for any facility-related issues.

Qualifications & Experience:

- Bachelor’s degree in Business Administration, Management, or a related field.
- 2-4 years of proven experience in an administrative or facilities management role.
- Strong organizational and multitasking skills.
- Good knowledge of office software (MS Word, Excel, Outlook).
- Familiarity with facility operations and vendor management is a plus.
- Excellent communication and interpersonal skills.
