To follow and complete any instructions given by the Property Manager.
- Act as an officer in charge during the absence of the Property Manager.
- Lead, monitor, motivate and inspire the team; serving as a focal point for their concerns, providing guidance and support to achieve preparedness and readiness in the daily operation of the compound.
- Responsible for the implementation of cleanliness, hygiene, correct appearance/uniform of reception staff and tidiness at the reception area.
- Responsible for the appraisals and performance management of Receptionists in cooperation with the Property Manager.
- Responsible of opening and closing of the reception area (locking doors, closing blinds, turning off lights) and inspection of all club house facilities on a daily basis every morning.
- Responsible for managing the correct handling of all equipment at the Reception area.
- Act as a first point of contact for all visitor’s, welcome them professionally and courteously and look after them until they have been attended to by the Reception staff, guaranteeing a smooth running reception area.
- Professionally administer all incoming calls and outgoing calls providing callers with compound facilities information and ensuring calls are redirected accordingly.
- Maintain a systematic arrangement in general customer service, booking, party reservations, tennis courts, squash, table tennis, billiards hall and other facilities and amenities as applicable in the compound.
- Resolves guests’ complaints in cooperation with the Property Manager.
- Type memos, correspondences and perform a variety of clerical duties.
- Assist in ordering, receiving, stocking and distribution of office supplies.
- Comply with the reception and administration processes as laid out in the standards of the compound’s rules and regulations.
- Receive work orders, distribute to the maintenance team and track all pending work orders with the call center to ensure completion.
- Update tenants about maintenance work orders and related concerns.
- Escort visitors (potential tenants) for compound orientation.
- Administer move in and move out procedures to ensure smooth transition of new tenants and accommodate the interest of both the tenant and the company.
- Coordinate with the security to inform them of all expected visitors and their information.
- Coordinate with leasing department the leasing contracts, intention notice and cheques collected from the tenants.
- Coordinate with finance department, incomes, monthly rents, kahrama bills, move in and out checklist.
- Coordinate with HR all related issues such as leaves, overtime, transportation, work shifts, medical appointments etc.
**Salary**: From QAR3,300.00 per month
