Job Title: Procurement Assistant (With Food and Beverage Experience)

Job Summary:

We are looking for an experienced and strategic Procurement Assistant professional to lead and manage our purchasing operations. The ideal candidate will support our procurement team in sourcing, purchasing, and maintaining accurate records of materials, supplies, and equipment. This role is vital in ensuring smooth day-to-day operations and supporting cost-effective purchasing practices aligned with our company's strategic goals.

Key Responsibilities

1. Procurement & Order Processing

  • Create and process purchase orders for raw materials, ingredients, packaging, and consumables.
  • Track deliveries and ensure timely receipt of goods in coordination with warehouse and production teams.
  • Assist in evaluating order quantities based on production schedules and inventory levels.

2. Supplier Coordination

  • Communicate with approved suppliers to confirm product availability, lead times, and pricing.
  • Request and compare quotations for competitive pricing and value.
  • Support negotiations of purchase terms and maintain strong vendor relationships.

3. Inventory Monitoring & Data Management

  • Maintain updated purchasing records and supplier information in system.
  • Monitor stock levels of key materials and flag any shortages or overstock issues.
  • Assist in cycle counts and inventory audits.

4. Compliance & Documentation

  • Ensure that all purchased goods meet food safety, quality, and regulatory requirements.
  • Maintain accurate records of purchase orders, receipts, invoices, and certificates of analysis.
  • Work with QA and production teams to resolve any supplier or material non-conformances.

5. Administrative Support

· Handle purchase documentation, invoice matching, and payment processing.

· Assist with reporting and analysis related to procurement activities.

· Provide general administrative support to the purchasing department.

Qualifications & Skills:

· Proficiency in purchasing software and Microsoft Office tools.

· High school diploma or equivalent (bachelor's degree in business, Supply Chain, or related field is a plus).

  • Proven experience as a Purchasing Assistant, Procurement Clerk, or similar role preferred within the food and beverage sector.
  • Familiarity with supply chain procedures and purchasing processes.
  • Familiarity with HACCP, GMP, and food safety compliance is a plus.
