ملخص الوظيفة:

نبحث عن سكرتير/ة لدى الموارد البشرية وشؤون العلاقات الحكومية يتمتع/تتمتع بالتنظيم العالي والقدرة على المتابعة، لتقديم الدعم الإداري لقسم الموارد البشرية، لدى شركة سامية الصالح للتجارة، بالإضافة إلى تولّي مهام منسق العلاقات الحكومية، والتعامل مع الجهات الرسمية وفق الأنظمة المعمول بها.

المهام والمسؤوليات:أولًا: المهام السكرتارية ودعم الموارد البشرية:

  • تقديم الدعم الإداري والسكرتاري الكامل لقسم الموارد البشرية.
  • إعداد وصياغة المراسلات الرسمية، الخطابات، والتقارير.
  • حفظ وتحديث ملفات الموظفين والبيانات الوظيفية.
  • تنظيم المواعيد والاجتماعات والمقابلات وتنسيقها.
  • المساهمة في إجراءات التوظيف والاستقطاب والتعيين.
  • متابعة سجلات الحضور، الإجازات، والملفات الإدارية.
  • الحفاظ على سرية المعلومات والملفات الوظيفية.

ثانيًا: مهام العلاقات الحكومية (P.R.O):

  • التنسيق والمتابعة مع الجهات الحكومية المختصة (وزارة العمل، الهجرة، البلدية، الدفاع المدني، وغيرها).
  • إنهاء معاملات التأشيرات، تصاريح العمل، الإقامات (إصدار، تجديد، إلغاء).
  • متابعة التراخيص التجارية والسجلات الرسمية وتجديدها في الوقت المحدد.
  • متابعة تواريخ انتهاء الوثائق الرسمية والتنبيه للتجديد.
  • تقديم واستلام المعاملات من الجهات الحكومية.
  • تنسيق الفحوصات الطبية والبصمة والإجراءات الرسمية للموظفين.

مهام عامة:

  • تنظيم وأرشفة الملفات الورقية والإلكترونية.
  • التنسيق مع مزودي الخدمات الخارجية.
  • تنفيذ أي مهام أخرى ذات صلة يكلّف بها من الإدارة.

المؤهلات والمهارات المطلوبة:

  • دبلوم أو بكالوريوس في إدارة الأعمال أو الموارد البشرية أو ما يعادلها.
  • خبرة سابقة في الموارد البشرية والعلاقات الحكومية (يفضل داخل دولة قطر).
  • معرفة جيدة بقوانين العمل والإجراءات الحكومية.
  • إجادة اللغة الإنجليزية (العربية ميزة إضافية).
  • إجادة استخدام برامج Microsoft Office.
  • مهارات تنظيم عالية وقدرة على العمل تحت الضغط.
  • مهارات تواصل ولباقة مهنية.

Job Summary:

We are seeking a well-organized and proactive Secretary to HR cum P.R.O to provide administrative support to the HR department while handling Public Relations Officer (P.R.O) responsibilities. The role requires strong coordination skills, confidentiality, and familiarity with government and immigration procedures.

Key Responsibilities:Secretarial & HR Support:

  • Provide full secretarial and administrative support to the HR department.
  • Prepare, draft, and manage official correspondence, emails, letters, and reports.
  • Maintain and update employee records, personnel files, and HR databases.
  • Schedule meetings, interviews, and appointments; prepare minutes when required.
  • Assist in recruitment processes, onboarding, and employee documentation.
  • Coordinate leave records, attendance, and HR-related follow-ups.
  • Ensure confidentiality of HR information at all times.

P.R.O Duties:

  • Liaise with government authorities (Labor Department, Immigration, Municipality, Civil Defense, etc.).
  • Process and follow up on visas, work permits, residency permits, renewals, and cancellations.
  • Handle company licenses, commercial registrations, and official approvals.
  • Track document expiry dates and ensure timely renewals.
  • Submit and collect documents from ministries and governmental offices.
  • Coordinate medicals, fingerprinting, and other employee government procedures.

General Responsibilities:

  • Maintain proper filing (physical and electronic) of all official documents.
  • Coordinate with external service providers and government portals.
  • Support management with administrative tasks as assigned.
  • Perform any other duties related to HR and P.R.O functions as required.

Qualifications & Skills:

  • Diploma or Bachelor's degree in Business Administration, HR, or related field.
  • Proven experience in HR administration and P.R.O work (preferably in Qatar).
  • Strong knowledge of local labor laws and government procedures.
  • Excellent communication skills in English (Arabic is an advantage).
  • Proficient in MS Office (Word, Excel, Outlook).
  • Highly organized, detail-oriented, and able to multitask.
  • Strong interpersonal skills and professional demeanor.
