Key Responsibilities:

Administrative Support:

  • Answer and direct phone calls, take messages and handle correspondence.
  • Schedule and coordinate meetings, appointments, and travel arrangements.
  • Maintain and organize office files, records, and documentation.
  • Prepare and edit documents, reports, and presentations.

Clerical Duties:

  • Manage office supplies inventory and place orders when necessary.
  • Handle incoming and outgoing mail and packages.
  • Assist in the preparation of regularly scheduled reports.
  • Perform data entry and maintain databases.

Customer Interaction:

  • Greet and assist visitors and clients.
  • Address customer inquiries and resolve issues in a timely manner.

Sales Support (if applicable):

  • Assist the sales team with administrative tasks and customer followups.
  • Maintain customer databases and track sales leads.
  • Prepare sales reports and presentations.
  • Participate in sales meetings and provide support as needed.

Transportation (if applicable):

  • Run office errands, including delivering documents and packages.
  • Assist with transportation arrangements for company events or client meetings.

Qualifications:

_

  • High school diploma or equivalent; additional qualifications as an administrative assistant or secretary will be a plus.
  • Proven experience as a secretary or in a similar administrative role.
  • Strong organizational and timemanagement skills.
  • Proficiency in MS Office (Word, Excel, PowerPoint, and Outlook).
  • Excellent written and verbal communication skills.
  • Ability to work independently and as part of a team.
  • Attention to detail and problemsolving skills.
